About this role

Overview

We are seeking an experienced and highly organized Executive Assistant to support senior leadership in a fast-paced dynamic environment. The ideal candidate will be a proactive resourceful and detail-oriented professional with excellent communication skills capable of managing multiple priorities while ensuring smooth day-to-day operations.

Key Responsibilities:

1. Executive Support:

  • Provide comprehensive administrative support to senior executives including the Managing Directors and Partners.

  • Manage calendars appointments and meetings ensuring efficient time management and prioritization.

  • Coordinate complex travel arrangements including flight bookings accommodation and itineraries.

  • Prepare and edit correspondence presentations reports and documents for internal and external stakeholders.

  • Handle confidential information with discretion and professionalism.

  • Expense processing for coverage team in a timely and accurate manner

2. Office Management:

  • Act as a liaison for internal and external communications handling inquiries and requests on behalf of the Office Manager where necessary

  • Assist the Office Manager with scheduling and coordinating events team offsites conferences and business dinners as necessary

3. Internal and External Stakeholder Coordination:

  • Coordinate communication with business partners to facilitate smooth interactions.

  • Work collaboratively with peers when managing coverage team with shared initiatives.

  • Collaborate with the team and manage front of office reception duties greeting clients and guests. Ensure each meeting is equipped with video conferencing catering relevant materials where required.

  • Execute complex meeting and travel schedules for high profile internal and external stakeholders who work alongside senior Partners

4. Additional Duties:

  • Handle personal administrative tasks for senior executives as required.

  • Maintain a high level of professionalism and adhere to company policies and confidentiality standards.

Qualifications and Skills:

  • Experience: 5 years of experience as an Executive Assistant preferably in a financial services private equity or funds management environment.

  • Bachelors degree or equivalent experience preferred.

Skills:

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • Excellent written and verbal communication skills and is proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office management software.

  • Detail-oriented with strong problem-solving skills.

  • Ability to work independently and proactively anticipating needs and taking initiative.

  • Familiarity and confidence working with IT infrastructure i.e. video conferencing expense related platforms.

  • Thrives and excels in both independent and collaborative work environments effectively balancing autonomy and teamwork with peers

  • Professional demeanor and strong interpersonal skills.

  • Ability to adapt to a fast-paced and ever-changing environment displaying a calm and friendly disposition.

  • High level of discretion integrity and the ability to handle sensitive information. Have strong time management skills with the ability to prioritize and execute tasks effectively.

  • A collaborative team player who displays a positive and supportive approach to their work environment and peers
