Under general supervision this position provides comprehensive administrative and customer service support to the Town Clerks Office serving as a primary point of contact for the public assisting with inquiries processing various licenses and permits and supporting records management agenda preparation and elections.

  • Serves as primary point of contact for citizens businesses and visitors in person by phone and/or electronically.


  • Provides accurate information resolving inquiries and complaints courteously and referring complex issues to appropriate staff.


  • Notarizes documents in accordance with regulations.


  • Processes and maintains various licenses permits and related records ensuring compliance with town state and federal laws; assists applicants with licensing and permit procedures; prepares notices for posting and obtains photographs showing conformity with posting requirements.


  • Performs site visits with liquor license customers for audits of signage and compliance with diagrams.


  • Performs technical review of federal state and town laws and codes to ensure compliance with current and updated laws and regulations. Updates forms procedures and processes as needed to comply. Communicates state and town laws to licensees.


  • Assists in the preparation and posting of public notices prepares meeting agendas packets and minutes; coordinates room scheduling meeting logistics and group refreshments.


  • Composes reports correspondence and other official documents with accuracy and professionalism.


  • Performs document imaging and record retention maintains databases and records systems.


  • Provides passport processing in accordance with federal regulations.


  • Observes and adheres to front desk and facility safety procedures including emergency preparedness; conducts periodic AED equipment inspections.


  • Maintains confidentiality consistent with Town policies and applicable state and federal laws.


  • Serves as a backup to the Municipal Court Clerk.


  • Assists with special projects mailings and inventory and supply management.


  • Assists with elections as directed.


  • Attends evening meetings as needed.


  • Performs other related duties as assigned.

Minimum Qualifications

The requirements listed below are representative of the education experience certification and/or licensure required. An equivalent combination of education and experience to perform the essential duties and meet the necessary employment standards may be considered.


Requires a high school diploma or GED equivalent supplemented by two (2) years of related administrative or clerical experience.


Experience in the public sector is preferred.


Possession of or the ability to readily obtain a valid Drivers License issued by the State of Colorado for the type of vehicle operated; safe driving record and a minimum of two (2) years of driving history.


Possession of or the ability to obtain a notary public in accordance with Colorado Secretary of State requirements within thirty (30) days of hire.


Possession of or the ability to readily obtain and maintain Criminal Justice Information Services Security and Privacy Training within thirty (30) days of hire.


Employment Standards

  • Knowledge of modern office practices recordkeeping and data processing systems.
  • Knowledge of town state and federal regulations that are applicable to licensing and public records.
  • Skill in the proficient operation of office equipment computers and various software applications (e.g. Microsoft Office and records management systems).
  • Ability to demonstrate strong verbal and written communication skills.
  • Ability to demonstrate excellent research problem-solving and customer service skills.
  • Ability to work independently prioritize multiple tasks and meet deadlines.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Ability to establish and maintain effective working relationships with employees officials and the public.

Working Conditions

Tools & Equipment

Requires use of general office equipment such as computers printers telephones and related software. Use of specialized tools or equipment may also be necessary including but not limited to technical devices mechanical tools heavy equipment machinery public-safety-related items or other industry-specific systems. If required by the position the employee may operate a personal or Town-owned vehicle.


General and Sensory Requirements
The employee is regularly required to sit stand walk reach with hands and arms and use hands and fingers to handle or operate objects tools or controls. Duties may also require stooping kneeling crouching crawling climbing stairs or ladders and maintaining balance. The employee must be able to talk and hear effectively both in person and over the phone and must be capable of operating a vehicle if required by the role. Vision requirements include consistent near and far visual acuity depth perception peripheral vision and the ability to adjust focus to allow a broad field of vision.


Light Physical Demands
This position is primarily sedentary in nature. The employee must be able to exert up to twenty (20) pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift carry push pull or otherwise move objects.


Environment

Physical presence onsite is required. Work is primarily performed in a climate-controlled office environment. The noise level is typically quiet.
