Assistant Registrar POSITION TITLE: Assistant Registrar APPOINTMENT TYPE:Administrative Staff REPORTS TO:Registrar Hendrix College is seeking a full-time Assistant Registrar. Reporting to the Registrar thisindividual will support all aspects of the record keeping and registration process and will assist in implementing policies and procedures related to registration academic records and conferring of degrees. This is a full-time twelve-month administrative position. Additionally s/he will be assigned specific duties that will benefit the goals of the department and the programs of Hendrix College. POSITION RESPONSIBILITIES: - Prepare diplomas and document Latin Honors and departmental honors in the system and on the diploma.
- Process mid-term grades; including reaching out to instructors to ensure deadlines are met and monitoring for appropriate credit type Ensure quality accuracy and integrity of academic records in the system. Oversee data entry functions including setting up independent studies and internships and registering students for those sections; monitoring incomplete grades; changing grades; and entering placement exam credits and all bonus credits as indicated in the Hendrix catalog.
- Responding to various inquiries from students faculty staff and parents and in fulfilling information and data requests following FERPA rules and regulations.
- Process enrollment verifications FERPA requests and student information updates including address and preferred name changes
- Process transcript requests and degree verifications through National Student Clearinghouse
- Review transfer course approval requests for current students evaluate transfer credit for potential students and record the credit in the system as appropriate
- Performing other office operations such as attendance confirmation student status update room/class scheduling pre-registration and registration and assist at Commencement.
- Scanning and maintaining student records.
- Act as the initial point of contact for students faculty staff and community members entering or calling the office.
- Other duties as assigned.
EDUCATION: Bachelors degree required EXPERIENCE: Must have demonstrated extensive experience with an integrated student database (Jenzabar module experience is preferred) work with diverse work groups possess excellent communication and interpersonal skills be professional friendly and work well with others. SKILLS: - Excellent organizational and interpersonal skills
- Ability to handle multiple tasks with attention to detail
- Strong written and verbal communication skills
- Self-motivated professional and team oriented
- Ability to meet goals and deadlines
