Job Overview:
We are seeking a highly organized and proactive Executive Assistant to support the Director in day-to-day operations. The ideal candidate will have excellent communication skills strong coordination abilities and the capability to independently manage schedules meetings documentation and follow-ups across multiple departments.
Job Responsibilities :
- Manage schedules appointments and meetings for the Director.
- Provide comprehensive assistance in all day-to-day activities of the Director.
- Ensure timely follow-ups and maintain excellent coordination with internal and external stakeholders.
- Handle emails and correspondence draft and respond on behalf of the Director when required.
- Arrange and coordinate meetings—both in-office and virtual (Zoom Teams Google Meet etc.)—and operate these platforms efficiently.
- Prepare Minutes of Meetings (MOM) and keep the Director updated on outcomes and action points.
- Follow up with internal teams for information and reports as per instructions and communicate updates effectively.
- Handle incoming and outgoing calls on behalf of the Director as guided.
- Follow up for collection of management reports and ensure timely submission.
- Prepare documents for important internal and external meetings.
- Maintain filing systems update documents and manage paperwork efficiently.
- Coordinate with various departments and assist in creating protocols as instructed by the Director.
- Monitor assigned tasks to ensure timely completion.
- Keep track of insurance maintenance contracts renewals and related documentation.
- Undertake any additional responsibility assigned by the Director from time to time.
Job Requirements:
- Graduate with strong verbal and written communication skills in English.
- Proficient in MS Office (Word Excel) Google Sheets and Google Docs.
- 510 years of relevant experience supporting senior leadership or management.
- Strong organizational skills attention to detail and the ability to multitask effectively.
