Job Summary

Job Overview:

We are seeking a highly organized and proactive Executive Assistant to support the Director in day-to-day operations. The ideal candidate will have excellent communication skills strong coordination abilities and the capability to independently manage schedules meetings documentation and follow-ups across multiple departments.

Job Responsibilities :

  • Manage schedules appointments and meetings for the Director.
  • Provide comprehensive assistance in all day-to-day activities of the Director.
  • Ensure timely follow-ups and maintain excellent coordination with internal and external stakeholders.
  • Handle emails and correspondence draft and respond on behalf of the Director when required.
  • Arrange and coordinate meetings—both in-office and virtual (Zoom Teams Google Meet etc.)—and operate these platforms efficiently.
  • Prepare Minutes of Meetings (MOM) and keep the Director updated on outcomes and action points.
  • Follow up with internal teams for information and reports as per instructions and communicate updates effectively.
  • Handle incoming and outgoing calls on behalf of the Director as guided.
  • Follow up for collection of management reports and ensure timely submission.
  • Prepare documents for important internal and external meetings.
  • Maintain filing systems update documents and manage paperwork efficiently.
  • Coordinate with various departments and assist in creating protocols as instructed by the Director.
  • Monitor assigned tasks to ensure timely completion.
  • Keep track of insurance maintenance contracts renewals and related documentation.
  • Undertake any additional responsibility assigned by the Director from time to time.

Job Requirements:

  • Graduate with strong verbal and written communication skills in English.
  • Proficient in MS Office (Word Excel) Google Sheets and Google Docs.
  • 510 years of relevant experience supporting senior leadership or management.
  • Strong organizational skills attention to detail and the ability to multitask effectively.
