About the Role

We are seeking a highly organized and detail-oriented Bookkeeper / Executive Assistant to support a senior executive with oversight of multiple personal properties financial administration and daily operational tasks. This role blends bookkeeping property coordination and executive support making it ideal for candidates who are reliable discreet proactive and comfortable managing responsibilities across multiple locations.

Candidates will support New York New Jersey and Florida properties handling utilities tenant communications property maintenance vendor coordination and financial tracking while also managing personal and property-related bookkeeping tasks.


Key Responsibilities

Brooklyn & NJ Properties

  • Monitor utilities and ensure accounts are accurate
  • Manage alarm companies landscapers irrigation and arborist vendors
  • Oversee property repairs and resolve violations
  • Collect log and track rent payments
  • Manage tenant leases
  • Supervise groundskeeper (NJ)
  • Pay property taxes and water bills
  • Monitor all auto-pay accounts
  • Reconcile credit card charges
  • Manage Viacord (Marjorie Blood cord account)

Florida Property

  • Manage POA-related responsibilities
  • Coordinate property maintenance
  • Track tenant rent payments and leases
  • Monitor utilities and property taxes

Bookkeeping & Financial Administration

  • Maintain accurate financial records for personal and property-related expenses
  • Reconcile bank accounts credit cards and recurring payments
  • Track rent vendor invoices property taxes and utility bills
  • Support overall financial reporting for multi-property operations

Executive Assistant Support

  • Serve as the main point of coordination for all property-related matters
  • Track recurring obligations contracts renewal dates and vendor schedules
  • Maintain digital filing systems for personal and property documents
  • Provide reminders and organizational support to the executive
  • Communicate professionally with tenants vendors and service providers


Hard Skills Required

  • Strong bookkeeping capability (QuickBooks Excel or similar)
  • Experience handling personal finances or family office-style administration
  • Vendor and contractor coordination experience
  • Property operations knowledge is a plus
  • Multi-state property management experience is highly valued
  • Strong digital recordkeeping and reporting skills
