Role Name: Administrative Assistant

Schedule: 40 hours per week; flexible scheduling to accommodate client travel across multiple time zones

Client Timezone: EST (client travels frequently between time zones)

Job Description: Youll become the trusted right hand to a logistics executive managing the personal and administrative details that keep their multi-regional operations running smoothly. This role offers the perfect blend of variety and responsibility where your organizational skills directly impact business efficiency. Youll work in a flexible trust-based environment with an executive who values reliable support and understands the importance of work-life balance across time zones.

Responsibilities:

  • Coordinate complex travel arrangements across multiple time zones and international destinations
  • Manage and maintain social media accounts with consistent posting and engagement
  • Handle personal logistics including coordinating moving services and relocation details
  • Provide comprehensive administrative support for day-to-day operations
  • Manage scheduling and calendar coordination across different time zones
  • Assist with operational tasks and special projects as needed
  • Coordinate errands and personal tasks that support business activities
  • Maintain organized systems for travel documentation and preferences

Requirements:

  • Previous administrative or executive assistant experience
  • Strong organizational and time management skills
  • Proficiency with travel booking platforms and social media management tools
  • Excellent written and verbal communication skills
  • Ability to work independently and manage multiple priorities simultaneously
  • Comfortable working with executives who travel frequently
  • Bonus if you have experience supporting C-level executives
  • It helps if youre familiar with logistics or international business operations
  • PREFERRED: experience with content creation and PPC advertising
