Job Summary

About the Role:RENFROE is seeking a highly organized and detail-oriented Administrative Coordinator to provide comprehensive administrative support across multiple departments including Human Resources Engineering and Executive Leadership. This role is essential in managing office operations coordinating events maintaining company records and ensuring smooth communication between internal teams and external partners.

Key Responsibilities:

  • Serve as shared administrative support for HR Engineering and Executive teams.
  • Assist HR with new hire onboarding welcome materials and first-day logistics.
  • Prepare agendas take meeting minutes and distribute follow-up action items.
  • Handle sensitive legal HR and executive information with discretion.
  • Support General Counsel with client requests subpoenas and document distribution.
  • Prepare format and maintain reports policies SOPs and company documents.
  • Organize and manage information within company databases and tracking systems.
  • Provide on-site administrative support at the Dallas facility as needed.
  • Serve as the primary administrator for the companys virtual mail vendor.
  • Oversee storage facility maintenance and organization.
  • Plan and coordinate company events and meetings.
  • Arrange travel reservations for employees clients and contractors.
  • Support Executive team members in preparing for board and client meetings.
  • Assist HR with unemployment claims and employment verification requests.
  • Schedule candidate phone screenings collect interviewer feedback and communicate with applicants.
  • Coordinate and manage calendars for executives and key stakeholders.
  • Maintain version control for policies and SOPs; ensure compliance with document retention and confidentiality standards.
  • Act as a point of contact for office-related vendors; review and process vendor invoices.
  • Prepare and reconcile expense reports and track event budgets.
  • Support cross-functional projects and special initiatives as assigned.

Qualifications:

  • 3 years of administrative or office coordination experience preferably supporting executives or multiple departments.
  • Experience in legal or HR administrative support is a plus.
  • Familiarity with document management systems and compliance processes.

Skills & Competencies:

  • Commitment to high-quality work and continuous improvement.
  • Professional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and database systems.
  • Discretion and confidentiality in handling sensitive information.
  • Proactive approach to problem-solving and process improvement.
  • Event planning and travel coordination experience.

Additional Requirements:

  • Ability to work independently and as part of a team both virtually and in person.
  • Must reside in the Dallas/Irving area and be able to commute on-site.
  • Strong attention to detail and accuracy.
