Position Summary:

Reporting to the Facilities Manager at the Susanne M. Glasscock School of Continuing Studies the Events Supervisor is an on-site role based in the Anderson-Clarke Center (ACC) that plans and executes end-to-end ACC events while supporting daily classroom operations. The position scopes and schedules ACC spaces; coordinates room layouts and AV; manages guest/vendor services; leads on-site execution; and trains/directs support staff student workers volunteers and contingent personnel. It also assists with classroom scheduling setups and first-line AV checks to ensure a high-quality learning environment and provides operational coverage when the Facilities Manager is unavailable.

This is a hands-on role that requires moving and positioning heavy furniture and AV equipment for room setups and turnovers. The position also provides late-evening early-morning and some Saturday coveragewith after-hours response for urgent needsto ensure seamless events and reliable learning spaces that advance the Schools mission.

Ideal Candidate Statement:

A hands-on customer-focused event operations professional who can run multiple Anderson-Clarke Center events end-to-end while supporting daily classroom needs. They bring solid project management discipline (timelines checklists room schedules) first-line classroom/AV savvy for quick triage and clear diplomatic communication with instructors guests vendors Facilities and OIT. Highly organized and detail-oriented they train and direct support staff student workers and contingent personnel on site stay calm under pressure and reliably move/position heavy furniture and AV equipment for setups and turnovers. They are comfortable with late-evening early-morning and some Saturday coverage respond to urgent after-hours issues and consistently close the loop with stakeholders.

Workplace Requirements:

On-campus position: This role is exclusively on-site at the Anderson-Clarke Center. The schedule is primarily weekdays with regular late-evening coverage for class nights some Saturdays for programs/events and after-hours phone response for urgent building/classroom issues as needed. Work is in a public-facing academic building and involves frequent walking/standing between classrooms and event spaces; room setups and turnovers (moving/positioning furniture and AV carts/equipment; occasional lifting up to 50 lbs); and monitoring building conditions to initiate and track work Rice policy 440 work arrangements may be subject to change.

Hiring Range: Minimum $48700 annually

*Exempt (salaried) positions underFLSA are not eligible for overtime.

Minimum Requirements:

  • Bachelors Degree
    • In lieu of the education requirement additional related experience above and beyond what is required on an equivalent year-for-year basis may be substituted
  • 2 years of experience in event management and facilities management

Essential Functions:

  • Serve as project manager for multiple activities; scope out project tasks/team assignments and guide team to create work plans and schedules monitor progress and meet milestones
  • Establish and maintain relationships with internal and external university partners
  • Act as department representative at cross-departmental project meetings
  • Operate as account manager on deliverables program metrics and status reports
  • Recommend and schedule events into appropriate off-campus and on-campus venues
  • May oversee support staff students volunteers and contingent event staff
  • Train and supervise junior event planners in proper execution and implementation of events
  • Perform all other duties as assigned

Additional Functions:

  • Proficiency with creating layouts turnovers and setup plans
  • Knowledge of room-scheduling and work-order/ticketing systems
  • Front-line AV support: triage classroom/event technology escalate to OIT when needed
  • Monitor and report progress toward annual revenue goals set by the Executive Director of Operations
  • Manage event invoices credits and reconciliations based on Rice Policy compliance and data accuracy
  • Plan setups with ADA/access needs in mind; follow building and safety protocols
