Job Summary

JOB DESCRIPTION

Reporting to the Benefits Administrator under general supervision the Administrative Assistant will be responsible for general administrative duties including but not limited to:

  • Answer and direct all incoming calls including calls regarding Qualified Domestic Relations Order (QDRO).
  • Communicate with members and attorneys in writing and over the phone.
  • Prepare track and process invoice for medical records.
  • Draft and track various internal documents.
  • Provide general administrative support such as retrieving scanning filing organizing files and documents and returning them to its respective location.
  • Accurately update and research information using internal database and mainframe.
  • Scan and/or retrieve documents from document management system-Laserfiche.
  • Assist with Group Life Insurance enrollment and tracking.
  • Serve as back up to the Benefits Analyst.
  • Serve as back-up for Legal Services Benefits Associate.
  • Timely manage incoming mail redirect and distribute as necessary.
  • Assist with and perform other duties as assigned.

Work Environment

This job operates in a professional office -- customer service environment. This role routinely uses standard office equipment such as desktop computers phone scanner printer keyboard photocopiers shredder and fax.

Required Experience Skills and Qualifications

  • Must have advanced knowledge of Microsoft Word and Excel. Must complete proficiency test successfully.
  • Prefer experience in an administrative capacity working for high level Executive/Administrator/Director.
  • Must be flexible and work cooperatively with all stakeholders.
  • Demonstrate excellent interpersonal communications organizational and problem-solving skills along with exceptional attention to detail and follow-through.
  • Ability to work independently be a self-starter exercise good judgment discretion and maintain strict confidentiality.
  • Works well under pressure in a fast-paced environment handling multiple tasks simultaneously with competing priorities with capability of prioritizing and planning work activities.
  • Highly adaptable and work effectively in a diverse environment and be flexible with changing priorities and ability to learn new skills.
  • Work effectively within a changing environment develop timelines and meet deadlines.
  • Must possess strong writing editing language and grammar skills evidenced through day-to-day emails phone calls meeting minutes and other methods of correspondence.
  • Demonstrate exceptional customer service skills
