Job Summary

Job Overview:

We are seeking a detail-oriented and proactive Supplier Management Operation Team Lead to join our team. The successful candidate will be responsible for leading and supervising the supplier management operations team ensuring effective shipment handling accurate documentation efficient communication with suppliers and internal teams excellent customer service and compliance with company standards and reporting requirements. The position is responsible for team performance continuous improvement and maintaining strong supplier relationships to achieve operational excellence.

Main Responsibilities:

Shipment Handling:

  • Oversee and guide team members in coordinating daily shipment operations with suppliers and logistics partners.
  • Ensure timely shipment planning booking and execution to meet customer delivery requirements.
  • Review and approve shipment schedules instructions and related documents.
  • Identify potential delays or bottlenecks and implement corrective actions proactively.
  • Support process optimization to improve shipment flow and reduce operational errors.

Documents and Systems Updates:

  • Ensure the accuracy and completeness of all supplier and shipment documents (POs invoices contracts etc.).
  • Monitor data entry and updates in ERP or operational systems by team members. Maintain systematic records and ensure audit readiness of supplier files and transactions.
  • Support digitalization and process improvement initiatives related to supplier documentation

Communication &Coordination:

  • Act as the main liaison between suppliers internal departments (procurement logistics finance customer service) and management.
  • Supervise the communication process between team members and suppliers to ensure clear and timely updates.
  • Conduct regular meetings with suppliers to review performance address issues and align on operational expectations.
  • Coordinate with management to implement supplier improvement programs or operational strategies.

Customer Service & Problem Solving:

  • Handle supplier- or shipment-related issues quickly and professionally.
  • Coordinate with relevant departments to investigate root causes and implement corrective actions.
  • Ensure service excellence by providing clear updates and solutions to both suppliers and internal customers.
  • Follow up on claims damages or discrepancies to achieve resolution.

Compliance & Reporting:

  • Lead the team in resolving supplier or shipment-related issues efficiently and professionally.
  • Review and approve issue reports root cause analyses and corrective actions.
  • Ensure customer satisfaction by maintaining service quality and responsiveness. Provide guidance and coaching to the team on problem-solving and conflict management.

Qualifications:

  • Bachelors degree or related field of Logistics Business.
  • Minimum 23 years of experience in supplier management logistics operations or procurement.
  • At least 12 years in a supervisory or team lead role.
  • Strong knowledge of supply chain processes shipment documentation and ERP systems.
  • English language (spoken and written) and Chinese as a plus.
  • Proficient in Microsoft Office (Excel Word PowerPoint).
