The 1402 Junior Clerk position in Operations will serve as an Employment Information Center (EIC) Representative. The EIC Representative is responsible for supporting the Department of Human Resources front counter operations and various pre-employment programs. Under immediate supervision provides quality customer service and serves as a primary contact for Department of Human Resources (DHR) employees City employees job applicants and the general public. Performs simple clerical tasks; provides information and services related to employment within the City and County of San Francisco including inquiries related to completing online applications fingerprinting examinations eligible lists and certifications.
Major Important and Essential duties:
- Provides customer service to DHR City employees Departments and the general public by email and over the telephone:
- Assist applicants with the online application process which includes explaining the recruitment process and navigating through the application.
- Retrieves confidential information related to Workers Compensation claims for medical providers and directs them to the appropriate authorized representative.
- Screens and directs inquiries to the appropriate contact which may include researching information using various systems and sources.
- Greets and directs visitors to the appropriate meeting locations per departmental protocol.
- Immediately report incidents which impact or disrupt daily operations to supervisor and/or management. These types of incidents may include but are not limited to calling security equipment failure or malfunction or guests who become upset and/or threatening.
- Inspects and distributes U.S. Postal mail and interdepartmental mail parcels and packages:
- Sorts and groups incoming mail for distribution to various units within the department.
- Receives shipments from UPS FedEx and other couriers which includes examining the packages and properly notifying the recipient of the delivery.
- Provides direct support to the Citywide Fingerprint Program:
- Receives Live Scan documentation from employment candidates and reviews for completeness and accuracy in preparation of fingerprinting.
- Verifies candidates identification following the California Department of Justices requirements for pre-employment fingerprinting and background checks.
- Reviews daily fingerprint appointments using a web-based appointment scheduler.
- Provides direct support to the Citywide Disaster Service Worker (DSW) Badge Program:
- Communicates and corresponds with departmental personnel via email phone or in-person for DSW badge statuses and inquiries.
- Reviews daily photo appointments using a web-based appointment scheduler.
Qualifications :
Experience: Six (6) months of clerical experience including preparing and maintaining a variety of records and/or documents filing use of office equipment public contact and processing of incoming and outgoing mail.
Substitution: Any one of the following may substitute for the required experience:
- Completion of 15 semester units (or equivalent quarter units) of coursework from an accredited college or university;
- OR Completion of a clerical training program (240 hours).
