Join our team as a Property Maintenance Coordinator Virtual Assistant!

We are seeking a highly organized proactive and exceptionally reliable Property Maintenance Coordinator to be the operational backbone for our clients Assisted Living Facilities and diverse portfolio of managed properties. This role is perfect for a detail-oriented professional who can expertly manage workflow prioritize urgent issues and ensure seamless communication across all property operations.

Key Responsibilities:

  • Act as a central support hub overseeing and facilitating the day-to-day operational needs of Assisted Living Facilities and other managed properties.

  • Serve as the primary point of contact for all incoming calls committed to answering the phone on the first ring to ensure rapid response and professional service for residents managers and vendors.

  • Efficiently coordinate all property maintenance and repair requests. This includes logging issues dispatching the appropriate internal staff or external vendors and verifying the scope of work.

  • Generate process and track detailed work orders from initiation to completion. You will also assist with light financial duties including processing collections and verifying billing information related to maintenance services.

  • Maintain consistent and proactive communication with site and property managers. Ensure all outstanding maintenance issues are tracked vendor performance is monitored and all resolutions are confirmed through diligent follow-up.

  • Provide high-level administrative support to the property management team including scheduling document management filing and preparing operational reports.



Requirements

Qualifications:

  • 2 years of Customer Service experience in inbound/outbound US voice accounts

  • Proven experience in a property management maintenance coordination or high-volume administrative role. Experience supporting Assisted Living or multi-site property operations is highly desirable.

  • Prior remote work experience is preferred.

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in using virtual collaboration tools and property management software.

  • Knowledge of property maintenance repair procedures and vendor management.

  • Ability to work independently and proactively solve problems.

  • Exceptional attention to detail and commitment to quality.

  • Quiet home office work environment

  • Willing to work on the graveyard shift

  • Fast and reliable internet connection of at least 10MBPS with internet backup available

  • Dependable electricity with power backup available

  • At least 8-gen i3 processors 12GB RAM and Windows or MAC SSD Disc
