Job Summary

Position Summary

We are seeking a highly capable proactive Back-Office Administrator / Executive Assistant to join our growing team. This is a critical role supporting the Founder & Managing Partner and contributing broadly to the smooth operation of the business.

The ideal candidate is exceptionally organised detail-driven and a confident communicator with strong written and spoken English. You will be a self-starter who takes ownership of tasks thinks critically about how work is done and is genuinely motivated by continuous learning and self-development.


Key Responsibilities:

Client & Compliance Support

  • Prepare tax letters for electronic signature

  • Assist with ASIC and corporate secretarial functions (excluding ASIC invoice payments)

  • Manage and respond to ATO correspondence

Data Management & Reporting

  • Enter receipts and supporting information into systemised templates

  • Assist with STP finalisation WorkCover submissions annual payroll tax and Division 293 processes

External Liaison

  • Liaise with ACIS and other external service providers

  • Follow up and chase outstanding information or support as required

Billing & Invoicing

  • Prepare invoices and enter billing data accurately into internal systems

  • Follow up outstanding invoices from clients

Internal Administration & Marketing Support

  • Maintain internal BAS registers and records

  • Assist with individual tax return lodgements

  • Support the preparation of PowerPoint presentations

  • Assist with social media formatting and posting website updates and general marketing activities

Executive & Personal EA Support

  • Manage the Founders calendar diary and inbox

  • Coordinate travel arrangements

  • Conduct research and provide ad-hoc personal support as required

Projects & Process Improvement

  • Assist with major projects including software conversions template development and SharePoint/cloud migrations

  • Identify opportunities to improve systems processes and workflows


Requirements

  • Proven experience in a Back-Office Administrator and/or Executive Assistant role

  • Proficient in Microsoft Office (Word Excel PowerPoint)

  • Able to work independently while collaborating effectively within a team


Desirable Experience

  • Experience supporting accounting or professional services businesses

  • Hands-on experience with Xero and/or MYOB
