In the role as Front Desk & Office Coordinator you will contribute to our purpose of Bringing People Closer.

The role ensures the smooth day-to-day running of the GN Warsaw office by managing front desk operations and supporting administrative activities. As the first point of contact for visitors (internal & external) and employees the position plays a key role in creating a welcoming office environment and enabling efficient collaboration across teams.
The Team you will be part of:
You will collaborate with internal Teams to support various administrative initiatives especially with the P&C Finance R&D Digital Data and IT (DDI).
Your contribution is appreciated and you will:
- Serve as the first point of contact for visitors ensuring a professional welcome and directing them appropriately.
- Provide day-to-day front desk support including handling calls inquiries and deliveries.
- Manage visitors registration and security access through the landlords application for both employees and guests ensuring compliance with all security protocols.
- Provide support with coordinating meetings appointments and room bookings when needed especially for larger internal events or visiting colleagues.
- Assist employees and internal guests with organizing travel arrangements (e.g. hotels transportation) for special visits or events while ensuring alignment with GNs self-service travel policy.
- Support ordering and stock control of office supplies.
- Liaise with vendors couriers and catering providers to ensure smooth daily operations.
- Oversee the document flow of incoming invoices from office suppliers; act as the first approver to ensure timely submission with correct cost center allocation for accurate booking and payment.
- Maintain digital and physical filing systems to ensure documents are organized and accessible.
- Support internal event planning and coordination.
- Monitor and report facility issues following up on resolutions.
- Collaborate with internal teams to support various administrative initiatives.
- Support process improvement efforts in line with GNs policies.
- Provide ad-hoc administrative support to the SDC Warsaw and Finance Operations leadership teams primarily as backup when the Finance Assistant is unavailable.
- Manage internal communication related to office events logistics and building operations.
- Update and maintain office-related documents and ensure timely communication of changes to all employees including safety instructions and regulations t with the Health & Safety Coordinator.
- Act as the main point of contact for communication with the building landlord and office-related vendors (e.g. cleaning maintenance security etc.).
To perform effectively in the role we imagine that you have:
- Bachelor or Masters degree in business administrative or related field.
- Prior experience in a related field; in administrative projects and front desk/reception work.
- Proficient organizational skills with the ability to prioritize and handle multiple tasks at once.
- Clear and professional communication style both verbal and written.
- Self-motivated and approachable personality.
- Process-orientation with meticulous attention to detail.
- Customer-driven approach complemented by effective communication skills.
- Versatile and solution-oriented mindset demonstrating resourcefulness punctuality and consistency.
- Experience in using Microsoft Office tools (Outlook Excel Word PowerPoint).
- Advanced writing and speaking skills in English; or in English and Polish.
