The Talent Acquisition Operational Excellence Coordinator is responsible for driving efficiency consistency and continuous improvement across the talent acquisition function. This role partners with recruiters hiring leaders and HR stakeholders to optimize recruiting processes manage operational workflows analyze performance metrics and ensure an exceptional candidate and hiring manager experience.
Talent Acquisition Operations
Coordinate and support end-to-end recruiting operations across multiple roles and functions
Ensure recruiting processes are followed consistently and align with best practices and internal standards
Manage job requisition workflows approvals and postings within the ATS
Support interview scheduling offer coordination and pre-employment processes as needed
Support process improvements
Coordinate Hiring Manager Trainings
Operational Excellence & Process Improvement
Identify process inefficiencies and recommend improvements to enhance speed quality and scalability
Document and maintain standard operating procedures (SOPs) for talent acquisition workflows
Support change management initiatives related to recruiting tools processes and policies
Partner with Talent Operations and HR teams on continuous improvement initiatives
Data Reporting & Insights
Maintain data integrity within the ATS and recruiting systems
Track analyze and report on key recruiting metrics (e.g. time-to-fill candidate conversion rates recruiter productivity)
Create dashboards and insights to inform decision-making and operational improvements
Stakeholder & Candidate Experience
Act as a trusted partner to recruiters and hiring managers by providing operational support and guidance
Ensure clear communication and a high-quality experience for candidates throughout the hiring process
Coordinate with external vendors agencies and background check providers as required
Compliance & Governance
Ensure recruiting activities comply with employment laws internal policies and data privacy standards
Support audits and governance reviews related to talent acquisition processes
Bachelors degree in Human Resources Business Administration Operations or a related field (or equivalent experience)
Experience in talent acquisition operations recruiting coordination or HR operations
Hands-on experience with applicant tracking systems (workday would be an asset)
Strong process improvement mindset with attention to detail
Excellent communication and stakeholder management skills
Experience in operational excellence process optimization or continuous improvement (Lean Six Sigma exposure a plus)
Experience supporting high-volume or complex hiring environments
Strong analytical skills with experience creating reports or dashboards
Advanced proficiency in Excel Google Sheets or BI tools
