Position Summary
The Contingent Workforce Program Coordinator is responsible for managing and supporting all operational aspects of the organisations contingent workforce program (FlexForce). This role ensures that contingent workers are engaged efficiently compliantly and in alignment with business needs. The coordinator acts as a day to day liaison between hiring managers vendors and contingent workers facilitating smooth operations and upholding organisational standards.
Key Responsibilities
- Program Administration and process execution with a focus on our HRIS (workday) and VMS (Eqip)
- Coordinate the daily operations of the contingent workforce program including onboarding tracking assignments and offboarding processes.
- Day to day Vendor Management:
- Serve as the main point of contact for staffing agencies and third-party suppliers ensuring service-level agreements are met and resolving any issues promptly.
- Compliance and Risk Mitigation day to day checking
- Ensure all contingent workforce activities comply with local labour laws company policies and best practices. Maintain accurate documentation and records for audits.
- Reporting and Analytics on a monthly / quarterly basis
- Generate regular reports on contingent workforce metrics costs and trends. Provide insights to support strategic decision-making.
- Stakeholder Support:
- Assist hiring managers in defining requirements reviewing candidate submissions and facilitating interviews and selection processes.
- Process Improvement:
- Identify opportunities to enhance the efficiency and effectiveness of the contingent workforce program
- Issue Resolution
- Address queries and resolve issues raised by contingent workers managers or vendors in a timely and professional manner.
- Ad hoc support on additional outsourced programs might be required such as RPO and Background Checks.
Qualifications and Skills
- Bachelors degree in Human Resources Business Administration or related field (or equivalent experience)
- Experience in running operations for workforce management staffing or HR coordination is preferred
- Strong organisational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficient in MS Office and HR/recruitment management systems
- Analytical mindset with attention to detail
- Ability to work collaboratively across teams and with external partners
Location & Working Hours
Based in Cracow / Poland Hybrid minimum 3 days / week office presence
