Job Summary

Yellowstone Clubs Residential Services department is seeking an Operations Manager candidate. This is a full-time year-round position located in Big Sky Montana.

The Operations Managers purpose is to direct the overall operations of the Property Management team in a designated neighborhood(s) while managing a small portfolio of key client accounts according to Club policies and procedures.

Major Responsibilities:

  • Direct the overall Property Management Operations within your designated neighborhood(s) ensure the supervisory duties are consistently accomplished and communicated while fostering a constructive team environment.
  • Continuously strive to build a safety focused culture amongst your team. Understand and apply all safety and security procedures and be a leader focused on maintaining a secure and safe environment for employees members and guests at all the event of an accident or emergency seek medical attention if necessary and contact the appropriate Residential Services Manager or Human Resources immediately.
  • Ensure each team member is proficient by Yellowstone Club standards to provide members and guests outstanding service in a guest friendly environment which includes greeting and acknowledging every member and guest maintaining outstanding service solid product knowledge and all other components of guestservice.
  • Ensure all team members are empowered to guarantee total guest satisfaction display hospitality and professionalism at all times take pride in representing Yellowstone Club professionally with our members and guests and assure that all transactions are handled in a legal and ethicalmanner.
  • Maintain a favorable working relationship with all company employees and other departments within Yellowstone Club to foster and promote a positive working environment.

Supervisory Responsibilities:

  • Provide oversight of the holistic operations of a small real estate portfolio.
  • Supervise and direct the work of Lead Primary and Assistant Property Managers in assigned neighborhood(s).
  • Create and maintain weekly schedules for Primary and Assistant Property Managers.
  • Routinely and continuously provide training and development for team members and new employees.
  • Provide supervision oversight training and guidance to all Residential Services teams including: Assistant Primary and Lead Property Managers Housekeepers Shoppers REC Team and Lodgekeepers within the assigned neighborhood(s).
  • Provide regular feedback to team members regarding their job performance including the condition of homes prior to arrivals.
  • Formally appraise the performance of team members seasonally providing reward and discipline as necessary.
  • Provide oversight guidance and training for all subcontractor projects taking place in the neighborhood. Including but not limited to definition of scope cost estimate approval quality of work project timeline and payment review. Additionally for all projects of significant scale cost or significance the Operations Manager will provide direct project management to ensure client satisfaction and revenue security.
  • Provide daily oversight of subcontractor invoices for all neighborhood homes and deliver supervision training and guidance to all team members to ensuring a steady and consistent revenue stream.
  • Address member complaints and ensure a suitable resolution is delivered; Escalate to management as needed.
  • Work with the management team to oversee budget creation and ensure its success across areas of responsibility.

Essential Job Functions:

  • Demonstrate and teach the advanced intuitive and working knowledge of all aspects of property management business operations.
  • Maintain thorough and detailed home inspection reporting for all homes at designated frequencies. This is including but not limited to weekly arrival in-residence departure hospitality recovery and seasonal inspection reports. These reports are to be audited at a regular frequency and compiled for review and analysis as needed and following hospitality recovery incidents.
  • Ensure quality guides are maintained for all homes in your neighborhood(s) that organize the operation and maintenance of home systems record member preferences hospitality recoveries and historical member complaints.
  • Exercise the ability to detect and remedy warning signs for common home issues and share this knowledge with all team members.
  • Maintain a record and plan to keep a constant par of home amenity items lightbulbs and household goods in all neighborhood properties. Maintain consistency across all homes to ensure prompt and efficient request resolution as well a steady revenue stream through product procurement.
  • Conduct final walk-throughs to ensure home readiness prior to arrivals in assigned neighborhood(s).
  • Track and monitor timecards vacation requests and other related tasks.
  • Conduct face-to-face meetings with clients and maintain clear and consistent communication via email and phone; Provide guidance on these items to team members and participate in interactions as needed.
  • Pitch Residential Services to potential clients following Yellowstone Club protocol.
  • Supervise and document completion of thorough monthly inspections for all fleet vehicles.
  • Act as a liaison between Residential Services teams driving continuous improvement to business processes.
  • Attend regular staff meetings prepared to contribute.
  • Ensure attendance and participation in mandatory monthly training meetings by all team members.
  • Provide significant input in the decision making process in regards to hiring terminations and employee assignments.
  • Resolve conflicts and issues amongst the team.
  • Exercise independent judgement and discretion as it relates to completion of all tasks and planning related to the management of assigned key client accounts.
  • Be responsible for procurement within your assigned area ensuring the budget is constructed to sufficiently accommodate these needs.
  • Secure bids for residential expenditures; submit to owners for approval and oversee successful implementation.
  • Maintain privacy of Members at all times.

  • Perform all duties and responsibilities in a timely efficient and professional manner in accordance with established Club policies procedures and standards of service for this position.
  • Manage departmental productivity organization and consistencystandards.
  • Treat Members Guests Vendors Customers and Co-workers with professionalism and respect at all times to ensure positive relations moving forward.
  • Maintain a clean and neat appearance at all times.
  • Communicate regularly and effectively with all employees supervisors managers and directors.
  • Project a favorable image of Yellowstone Club to Members and guests at all times.
  • Must be able to work flexible work hours/schedule including evenings weekends and holidays. Long hours may be required due to businessdemands.
  • Maintain a positive and respectfulattitude.

Experience/Education Required

  • 6-8 seasons of property management experience or equivalent in a related field
  • 1-3 years experience managing teams
  • High school diploma GED or vocational training or job-related course work
  • Highlevel ofattention to detail
  • Strong communication skills both written and verbal

Experience/Education Preferred

  • Bachelors Degree
  • Previous experience in the hospitality industry or a similar resort environment preferred

Certificates & Licenses

Montana State Drivers License; clean driving record

Computer Skills

  • Workingknowledge of Microsoft Office products Word Excel Outlook Power Point
  • Familiarity and comfortability using a smartphone (and associated apps) as the primary work tool

Language Ability

Able to speak clearly and effectively with Members guests co-workers vendors and other Yellowstone Club departments. Able to write clearly and legibly.

Math Ability

Able to perform basic math calculations.

Reasoning Ability

Ability to solve basic problems and/or know when it is necessary to get aseniormanager to assist in problem solving.
