About the role:

We are seeking a highly organized and proactive Executive Assistant to support part of the leadership team in this role youll become a trusted partner keeping the details in order so leaders can focus on big-picture strategy and decision-making.

Every day will be different: at one moment youll be coordinating international travel complex calendar managementand organizing high-level meetings. Youll be part of a collaborative EA team sharing best practices and contributing to our mission and principles.

Your key responsibilities will include:

  • Manage complex calendars.
  • Prioritize and respond to emails calls and correspondence.
  • Coordinate logistics for meetings board sessions offsites and events.
  • Arrange international and domestic travel itineraries and last-minute changes.
  • Support budget tracking expense reporting and vendor coordination.
  • Act as the primary point of contact for executives with stakeholders.
  • Build and maintain strong internal and external relationships.
  • Support onboarding and coordination for new team members.
  • Organize agendas take minutes and track follow-up actions.
  • Maintain filing systems and manage confidential records.

    • Languages: Proficiency in English and any other European language is a plus
    • Contract: Full Time (40 hours)

    You are expected to have:

    • 5 years experience supporting executives preferably in an international setting.
    • Strong organizational prioritization and time-management skills.
    • Excellent written and spoken English; proficiency in another European language is a plus.
    • Advanced Microsoft Office and productivity tool skills.
    • Independent proactive team player flexible and resourceful mindset and able to thrive in a fast-paced (global) environment.
    • Customer service-oriented with excellent interpersonal skills.
    • Proven discretion in handling sensitive and confidential information.
    • Previous experience in veterinary healthcare is an advantage.
    • Comfortable working in a pet-friendly office.
