DescriptionPittsburg State University is accepting applications for an Executive Assistant to the University Chief of Staff in the Presidents Office that is responsible for directing managing and overseeing all aspects ofthe Office of the President. TheExecutive Assistantwill also structure directand manage thestudent/GA positionsfor the President and the Presidents Office.
Duties and Responsibilities
Managesthe Office of the President- 30%
- Manages prioritizes and coordinatesthePresidents calendar including all campus individual - filters requests as appropriate
- Coordinatesand managesgratitude and recognition programswith University Development
- Managesoffice supplies equipment and technology ensuring the office is well-equipped and that resources areoptimized
- Plansevents and meetings in which thePresident will address campus or the community
- Providesassistancein event planning and implementation for other areas of campus as needed including athletics marketing and development
- Servesas a member of theAppleDayScholarshipCommencementand anyadditionalcampus committeesasneeded
- Coordinatesexternal/institutional advisory and/or constituency groups on behalf of the office
- Plansand coordinatesall travel and reimbursements for thePresident
- Coordinatesall documentation processes for personnel files with Human Resources
- Coordinatesplanning with any external organizations thePresident serves at the local state national and international level
- Overseesthe Presidents Officecomponentof the online hiring system for all employees
- Initiatescompletesand/or overseesthe preparation of correspondence for thePresidents signature including confidential correspondence and correspondence sent on behalf of thePresident
CoordinatesNeedsEvents andFunctions of the Crossland University House- 25%
- Managesthe calendar and scheduling of all events internal and external to campus
- Managesthe space itself including preparing for and resetting after all eventscreatingand overseeing a cleaning and maintenance schedule for all interior and exterior spaces coordinating with facilities operations as needed
- Managestheguest suite schedule andpreparesfor and resetsthe space around guest visits
- Directsmanages and overseesthe GA position assigned toassistwith the House
- Respondsto any needs on the private side ofthe space coordinating with facilities operations as needed
- Workswith thePresident and their family on anyadditionalneeds/requests
DevelopsDirects andManagestheStudentStaff 15%
- Manages student selection process & timeline
- Coordinates office appointments scheduling structure training and management
- WorkswithUniversity Chief of Staffto create andmaintaincentralized student leadership and development program
Assists DepartmentsWithin the Division 10%
- Helpsas needed;General Counsel Internal Audit andInstitutional EquityandTitle IX
Budget Management 10%
- Assistswithand overseesthe development and management of all associated/presidentialbudgets working closely with the shared Administrative Specialist in the Executive Vice President and Provosts Office
Other 10%
- AssistsUniversity Chief of Staffwithadditionaltasksas needed
- Other duties as assigned
Education and Experience
Required Education and Experience - Time of Hire
- Bachelors degreein business communication education or a related field
- Twoyears of experience inanadministrative office setting
- Evidence ofstrong communication interpersonal organizational and problem-solving skills
- Evidence of excellent collaboration skills
- Demonstrated ability to work well with students faculty and administration
Candidates must hold abachelors degree in businesscommunicationeducationora degree requirement ensures candidatespossessthe advanced theoretical knowledge highly specialized methodologies and critical problem-solving skills fundamental to this work These competencies are typically developed and rigorouslyvalidatesonly through the comprehensive curriculum and intensive experiential experience inherent in a formal degree program.
Preferred Education and Experience
- Higher education administrative experience
- Graduate degree (masters-level or higher)
- Experience with developing campus/community service and volunteerism programs

Salary Range: $52000 - $56000 annually
Job Type: Unclassified
Appointment Duration: 12 months
Work Schedule: Full Time Monday Friday 8:00 AM 4:30 PM nights and weekends as needed
