POSITION TITLE: Finance Assistant
Reporting to the Controller this position Assists with the Functions of organizational financial tracking this positions primary responsibilities include overseeing and performing a variety of financial and clerical tasks in the finance department. The successful candidate will possess strong interpersonal communication qualities be committed to working with diverse populations and provide excellent customer service to a broad range of cultures. This position advances ANEWs values for fair and culturally competent service delivery innovation efficient application of resources building a culture of performance and expanding opportunities to seek input listen and respond to industry and residents. Experience with Non-profit finances is preferred.
ESSENTIAL FUNCTIONS
Grant and Contract Administration:
o Maintain accurate financial records for all grants ensuring proper tracking of restricted and unrestricted funds.
o Monitor grant budgets and expenditures and prepare documentation for accurate and timely grant invoicing and reimbursement requests.
o Collaborate with program staff to ensure program costs align with grant restrictions and support effective budget management.
o Assist in preparing the Schedule of Expenditures of Federal Awards (SEFA) and other governmental schedules for the annual audit.
o Track key grant dates and deadlines to ensure all reporting is submitted on time.
General Accounting:
o Manage and process accounts payable (AP) and accounts receivable (AR) transactions including vendor payments and customer invoicing.
o Perform regular bank and balance sheet reconciliations to support the monthly and year-end closing processes.
o Perform general ledger maintenance and post journal entries as needed.
o Assist with other accounting duties including data entry and financial record maintenance.
Payroll Administration:
o Process semi-monthly payroll for all employees ensuring timely and accurate payments.
o Process payroll-related items including deductions for taxes benefits and garnishments.
o Maintain accurate and confidential employee payroll records including updates for new hires terminations and compensation changes.
o Assist with payroll tax filings and prepare annual W-2 and 1099 forms.
o Serve as a point of contact for employee inquiries regarding payroll and related matters.
Auditing and Compliance:
o Ensure all accounting practices and payroll administration comply with U.S. Generally Accepted Accounting Principles (GAAP) funder regulations and internal policies.
o Support the annual external audit by preparing requested schedules and documentation.
MINIMUM / REQUIRED QUALIFICATIONS
Strong computer hardware software and internet skills including proficiency in Microsoft Office Suite programs adaptive technologies and classroom monitoring software.
Excellent organizational and attention to detail skills.
Excellent oral and written communications skills.
Willingness and ability to learn and multitask in a fast-paced environment.
Demonstrated ability to work independently.
Must be able to be bonded and insured in WA state.
Ability to understand and interpret written and oral instructions effectively and professionally communicate.
Proven academic excellence and subject matter knowledge which may be evidenced by training experience and/or an associate degree.
Prefer 2 years experience with bookkeeping data entry and/or data reporting.
Experience with nonprofit financial concepts or grants management.
Personal qualities of integrity credibility and dedication to the mission of ANEW.
CONDITIONS OF EMPLOYMENT AND OTHER REQUIREMENTS
Background screening through Washington State Patrol
Proof of citizenship or other authorization for employment
Continuation of employment is contingent upon successfully performing the work described.
Continuation of this position is dependent on the achievement of performance goals andavailability of funding.
WORK LOCATION: ANEW Tukwila Training Center in person 100% of the time.
WORK SCHEDULE: 8am-4:30pm
REPORTS TO: Controller
SALARY
This position is paid as a non-exempt position with a starting hourly wage of $33.17 - $35.21 per hour. This position is grant-funded and continuation of this position is subject to continuation offunding. .
**Years of experience has to be directly related to this position.
BENEFITS
The person in this position is expected to serve a 90-day probation period. Benefits will take effect after 30 days of employment. If the position is more than 30/hours per week the following benefit information will be made effective: Employer paid benefits include: Medical Dental and Vision. 12 days of sick and vacation time per year accrued at a rate of 4 hours per twice monthly pay period.
A portion of the medical premium is made by the employee through a pre-tax contribution at time of payroll posting. Employees at 30/hours week or greater qualify for full benefits and pay a pre-tax contribution of $80 per month. Additional employer paid benefits include basic life insurance vacation sick leave holiday pay and taxes as required by law.
