The mission of the Receptionist is to demonstrate excellent professionalism and exceptional customer service to facilitate a welcoming environment for clients.ââ
Primary Responsibilities:
- Answer screen and forward incoming phone calls.ââ
- Ensure the reception area and conference rooms are always tidy and presentable.â
- Maintain stock of necessary supplies in reception area & conference rooms.ââ
- Welcome clients & visitors as soon as they arrive notify their contact person and ensure they are comfortable while they wait for their meeting to start.â
- Manage conference room schedules and adjust meetings accordingly.â
- Oversee all aspects of daily mail and shipping activities. This includes but is not limited to processing all inbound & outbound mail and packages sending faxes troubleshooting any mail delays or issues and generating billing reports.â
- Maintain office security protocols with visitor sign-in logs inbound and outbound package logs and securing locked spaces at the end of every day.â
- Assist the Operations Manager with inventory management of office supplies coffee and mail and shipping supplies.â
- Maintain a file for vendor receipts supply orders packing slips and invoices.â
- Assist the Records Management department with client scanning and distribute client documents received via mail in a timely manner.â
Additional duties may be assigned to meet business needs.

- This position requires demonstrated professionalism and poise when working with clients and coworkers.â
- Ability to be resourceful organized and proactive when managing multiple priorities at the same time both independently and with a team.ââ
- Solid interpersonal skills & resourcefulness when handling stressful or confidential situations.â
- Ability to interact and communicate with people at all levels of the organization.â
- Excellent written and verbal communication skills.
Education Training & Experience:
- High School diploma
- Two or more years of reception/office related experienceâ
- Experience with a multi-line phone system and fielding phone callsâ
- Working knowledge of office etiquetteâ
Desired Applicable Experience:
- Microsoft Office Suite (Outlook Word Excel PowerPoint OneNote Teams)â
- Company Intranetâ
- Soft Phone Applications (e.g. Cisco Jabber or RingCentral)â
- Computer Systemsâ
- Zoomââ
- Voice messaging systemsâ
- Faxingâ
- Printer Scanner Copierâ
- Typing of at least 50 wpmâ
Working Conditions:
- This position is in-office in a business professional environment.â
- Standard 40-hour work week (8 am 5 pm with a 1-hour unpaid lunch break)â
