The Opportunity:
This is an internal recruitment open to all current regular trial service and limited duration employees of Multnomah County who are in paid status on approved leave or on an active recall list.
Temporary and on-call employees in Local 88 may apply for an internal recruitment if they were hired through a competitive civil service process.

In this role as a Senior Administrative Analyst you will get to support a team by doing a variety of important things. Its all about supporting the Chief Human Resources Officer (CHRO) with their administrative needs. Were talking about handling financial stuff helping with contracts and even diving into creating new HR policies. Plus this role gets to organize all the fun employee recognition events like Public Service Recognition Week Recognition Awards and the Employee Service Awards its a party planners dream! Administratively this position helps with calendaring and email management office and space management and overseeing other tasks managed by a team member youd supervise. Basically this person is the bridge between the Chief Human Resources Officer and everyone else department staff employees managers union leaders the Communications Office the Chairs Office the public and outside agencies. Its a lot of juggling but it keeps things running smoothly!
Ready for your next challenge Here is an overview of the core responsibilities:
Executive Administrative Support to the Chief Human Resources Officer
Provide confidential administrative management and assistance to the Chief Human Resources Officer and Central HR Managers
Manage calendaring and meeting activities; respond to and compose correspondence
Assists CHRO in following up on matters that are confidential including labor relations issues that influence collective bargaining contract dispute resolution settlements and arbitration issues
Provide office management research and technical support to administrative or program-related projects within the Countys departments and outside agencies
Provide administrative budget support including managing program offers within the Questica system developing budget templates monitoring timelines ensuring accurate equipment inventory maintaining oversight of spending and reporting financial information to the CHRO
Central HR Office Manager
Provide administrative support to all residents of Multnomah Building Suite 300
Coordinate drop-in cubicle spaces
Maintain equipment and supplies
Ensure communication on space or building related issues assist staff with equipment and procedures on site
Coordination of Administrative Activities
May provide supervision of administrative staff
Manage route and respond to general recruitment inbox
Process countywide transfer/recall/reinstatement lists in Workday
Coordination of Countywide Employee Recognition Programs:
Coordinate all activities related to the Countywide Employee Recognition Program/Public Service Recognition Week activities and the Countywide Years of Service activities and events

To Qualify

Minimum Qualifications/Transferable Skills*:
Bachelors degree. Experience may substitute for a degree
Three (3) years of experience performing the essential functions of the position including but not limited to:
Providing high level analytical and administrative support to an executive; this includes project coordination and management budget development managing deadlines with competing priorities
Providing office support including managing phone calls emails calendars internal communications and preparing reports
Proficiency in MS Office Google Workspace or comparable systems specifically spreadsheet software such as MS Excel or Google Sheets is required
Proficient in note-taking and summarizing complex information
All finalists must pass a criminal records check

This recruitment may be used to fill full-time part-time temporary limited duration and on-call positions.
Type of Position: This is a salary non-represented position that is not eligible for overtime.
Schedule: Monday - Friday; There may be some flexibility with scheduling and daily start and end times.
Hybrid Telework: This position is designated as hybrid telework meaning you will be working both remotely (from home) and in person at an onsite location. This generally means three days in the office and two days remote per week. The designation of Hybrid Telework may be subject to change at a future time. All employees must reside in Oregon or Washington; the county cannot support ongoing telework from other locations.
