Purpose
This role plays a critical role in ensuring accurate and compliant employee data management and delivering a seamless onboarding experience. This customer service-focused position supports the full employee lifecycle and serves as a key liaison between candidates internal stakeholders and external vendors. The role helps shape the candidates first impression of IDEMIA and ensures operational excellence across HR processes.
Key Missions
HR Operations
- Maintain accurate and complete employment records in the core HR system including personal details job history compensation benefits performance and leave data.
- Ensure compliance with company policies and legal regulations across all HR documentation and processes.
- Support payroll and employment-related activities such as hiring terminations contract renewals and labor law compliance.
- Provide HR reporting and analytics to internal stakeholders and external agencies (e.g. headcount turnover absenteeism compensation).
- Collaborate with HR Business Partners Compensation & Benefits and Finance teams to ensure timely and accurate HR operations and payouts.
- Participate in internal and external HR audits.
- Maintain and update the Employee Handbook and HR policies on internal platforms.
- Identify and implement process improvements to enhance HR service delivery.
- Manage relationships with HR vendors in alignment with procurement policies.
Onboarding
- Serve as the primary point of contact for candidates from verbal offer acceptance through start date.
- Coordinate onboarding activities including background checks paperwork offer letters reference checks and start date scheduling.
- Track candidate progress using tools such as ADP iCIMS and MS Teams.
- Ensure compliance with onboarding documentation including EEO data identification verification and applicant tracking.
- Provide exceptional customer service and proactively resolve onboarding issues or delays.
- Maintain confidentiality of candidate information and ensure secure handling of sensitive data.
- Adapt onboarding processes to meet the needs of various business units and geographic locations.
- Perform administrative tasks supporting onboarding including updating systems and following up with stakeholders.
- Support additional HR projects and tasks as assigned.

- 12 years of HR or recruitment experience preferred
- Proficiency in Microsoft Office Suite (Excel Word Visio Outlook)
- Experience with HRIS and applicant tracking systems
- Ability to work independently and communicate across all levels of the organization
