We are seeking a proactive and highly organized Office Operations Manager to oversee the day-to-day operations of our Warsaw office. This role is pivotal in ensuring a well-functioning efficient and engaging workplace environment. The ideal candidate will be a strategic thinker with strong leadership skills and a passion for operational excellence and sustainability.
Your Responsibilities
- Office Management & Operations
- Ensure the smooth and efficient running of all office operations.
- Oversee office infrastructure supplies and services to maintain a productive work environment.
- Manage office relocations refurbishments and space optimization projects.
- Team Leadership
- Lead mentor and develop a small administrative team (currently 2 direct reports).
- Foster a collaborative and high-performance culture within the team.
- Vendor & Facility Management
- Negotiate contracts and maintain relationships with external vendors including car fleet providers and the building landlord.
- Monitor service levels and ensure cost-effective procurement.
- Internal Communication
- Facilitate clear and consistent internal communication across the Polish office.
- Organize internal Town Hall meetings.
- Administrative Procedures
- Draft update and maintain office administration policies and procedures.
- Ensure compliance with company standards and local regulations.
- Sustainability & ESG
- Lead sustainability initiatives including the preparation of annual carbon footprint data.
- Actively contribute to ESG programs.
- Budget & Financial Oversight
- Manage the office operations budget including invoice approval and cost control.
- Track expenses and ensure alignment with financial targets.
- Continuous Improvement
- Identify opportunities for operational improvements and implement effective solutions.
- Drive innovation in office management practices.
- Cross-functional Collaboration
- Work closely with other departments.
- Support corporate initiatives and contribute to strategic projects.
- Event Planning
- Oversee internal events and activities planned by the Office Ops team.
Qualifications :
- Proven experience in office and facilities management preferably in an international environment.
- Experience in office/admin project management.
- Strong leadership and team management capabilities.
- Excellent organizational and problem-solving skills.
- Effective communicator with fluency in Polish and English.
- Experience with sustainability and ESG initiatives is a plus.
- Proficiency in MS Office.
