Job Description

Our client is looking for an all-rounder Accounts Stock Control Costing & Invoicing Clerk

Salary and Benefits:

  • Negotiable

Main Responsibilities:

  • Receiving stock from suppliers handling storage and issuance of stock for use in the Head Office-Functions kitchen and updating bin cards that of.
  • Posting stock from suppliers into various contract warehouses in the EVOLUTION system after making sure all invoices are fully signed and stamped by authorised receiving personnel at Head office and at various contract sites.
  • Liaising with management at various contract sites to ensure that suppliers invoices are transmitted to Head office timeously for posting into the EVOLUTION system.
  • Checking suppliers tax invoices to make sure they bear theirs and our details in terms of names addresses TIN numbers and Vat numbers.
  • Moving stock going to various fixed priced contracts from Head office Warehouse into their respective warehouses through Inter-Branch Transfer (IBTs) documents in the EVOLUTION system.
  • Moving stock for cleaning packaging and promotion out of the EVOLUTION system through Inventory Journals.
  • Ensuring that all stock coming in and out of the warehouse has accompanying documentation.
  • Determining cost of sales and closing stock valuation for fixed priced contracts through Inventory Count Variance compilation in the EVOLUTION system.
  • Doing monthly stock take at some of the contract sites.
  • Carry out any other duties as assigned from time to time by the Finance Manager Assistant Accountant.
Costing & Invoicing
  • Doing daily costings for the Head Office-Functions kitchen.
  • Costing of every billing as per terms and conditions of each customers contract.
  • Invoicing out of the EVOLUTION System to each customer on due dates as per term and conditions of its contract.
  • Invoicing out of the EVOLUTION System to customers where stock is being loaded on a truck for either local deliveries or for out-of-town trips where the invoice must accompany the stock.
  • Preparation of statements and supporting documents to accompany invoices to customers as per their specifications.
  • Moving stock going to various fixed priced contracts from Head office Warehouse into their respective warehouses through Inter-Branch Transfer (IBTs) documents in the Pastel Evolution system.
  • Doing monthly stock take at some of the contract sites.
  • Assisting in posting stock from various suppliers into the EVOLUTION system.
  • Carrying out any other duties as assigned from time to time by the Finance Manager or Assistant Accountant.

  • Experience with Pastel Evolution.
  • Communication skills.
  • Highly organized.

Qualifications

  • Relevant qualifications.
  • Experience in Pastel Evolution is essential
  • Experience in cash books and bank reconciliations will be an added advantage.
