We are seeking an experienced and proactive Executive Assistant to join our team in our London office. This role will provide high-level support to senior members of staff and play a vital role in ensuring the smooth running of daily operations.
You will provide on-going support to the business while demonstrating the core values of the organisation and exercising independent judgment in the resolution of administrative problems. The ability to manage change and seek out additional responsibilities is vital to the success of this position.
Day-to-day responsibilities:
- Manage executives calendar including scheduling invites across multiple time zones and prioritizing sensitive matters.
- Provide administrative assistance such as writing and editing e-mails meeting notes drafting memos and preparing communications on the executives behalf.
- Discretely handle sensitive and confidential correspondences spreadsheets presentations Org charts and updating reports.
- Organise meetings including scheduling sending reminders securing equipment and office supplies organising catering and incoming visitors when necessary.
- Assist in organising internal and external events board meetings and team briefings. As well as attending internal team meetings.
- Act as a liaison between executives clients and internal departments.
- Compile and process expense reports.
- Coordinate travel arrangements and visas.
- Participate in and/or lead special projects as assigned.
- Manage invoicing and payment processing for external vendors ensuring accuracy and timely completion.
- Create and maintain project codes to support financial tracking and reporting across initiatives.
- Monitor and manage internal budgets providing regular updates and ensuring alignment with financial targets.
Requirements:
- Minimum 5 years previous experience in a Personal Assistant or Executive Assistant role.
- Experience supporting senior stakeholders in fast-paced environments.
- Background in finance or advisory firms is preferred.
- Fast thinking proactive and confident working unsupervised using own initiative.
- Highly organised detail-oriented and able to manage multiple priorities.
- Advanced knowledge and proficiency in Microsoft Word Outlook including calendar management Excel and PowerPoint.
- Excellent communication skills (listening verbal written and presentation) are required.
- Must demonstrate the ability to work effectively with Senior Management and colleagues at all levels of company.
- Ability to accept direction and additional responsibilities from managers and/or staff supervisor.
- Excellent organizational and time management skills; Ability to organize and prioritize multiple and moderately complex tasks in a deadline-driven environment.
