Job Description

Great Basin College (GBC) seeks an Administrative Assistant 4 to join the dynamic School of Arts and Sciences. This position provides support to the Dean of the School of Arts and Sciences and the departments within: Arts and Letters Education Math Science Social Sciences and the Humanities Center. The incumbent must be able to communicate with full and part-time faculty and staff directors administrators department chairs community members and students.

This position provides high-level executive administrative support to the Dean of Arts and Sciences with responsibilities spanning academic support supervision of classified staff budget oversight and database management. The role involves preparing detailed reports managing and tracking budgets monitoring enrollment statistics and overseeing course management processes. Strong proficiency in Microsoft Office is essential particularly in Word and Excel to support the administrative and operational needs of the college effectively.

Primary Responsibilities:

Executive Administrative Support to the Dean of the School of Arts and Sciences

  • Receives and manage all incoming phone calls visitors correspondence and reports.

  • Coordinate travel lodging and meeting room arrangements including any special equipment needs refreshments and other amenities.

  • Provide administrative support to all departments within the School of Arts and Sciences including the Humanities Center.

  • Prepare and process travel authorization

Academic Administrative Support

  • Assist the Dean and department chairs with scheduling and staffing of classes to ensure optimal program delivery.

  • Support program and course assessment activities

  • Prepare various reports and compile statistical data as needed.

  • Assist the Dean and department chairs with recruitment activities.

Supervision of Classified Staff

  • Establish clear performance standards for supervised employees.

  • Provide constructive timely feedback and complete regular evaluations.

  • Arrange and provide training for development opportunities and onboarding.

Budget and Database Management

  • Monitor and reconcile operating lab travel and grant accounts within the School of Arts and Sciences.

  • Create supplier invoice requests as needed.

  • Process and verify procurement card transactions in accordance with institutional guidelines.

  • Prepare spend authorizations and expense reports for the Dean.

  • Order receive and maintain office supplies forms and equipment with established procedures.

Required Qualifications

  • This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience as described above.

A valid drivers license is required at the time of appointment and as a condition of continuing employment.

Proficiency in Microsoft Office is required with the ability to effectively utilize applications such as Word Excel Outlook and PowerPoint for a variety of administrative and operational tasks.

Preferred Qualifications

Candidates with the following experience are encouraged to apply: strong communication skills with the ability to convey information clearly and accurately; demonstrated proficiency in compiling organizing and consolidating financial and statistical data; familiarity with Workday and PeopleSoft systems; excellent organizational skills with a strong attention to detail; and excellent computer skills.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; though occasional evening and weekend work may be required. This is subject to change based on organizational needs.

Compensation Grade

Grade 29

In classified service salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment the candidates qualifications internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.

Classified Staff Grant-In-Aid Benefit

Great Basin College is proud to provide a reduced-rate tuition benefit to Classified employees and their eligible dependents. Classified employees can take up to six credits per semester at a reduced rate. Dependents of Classified staff have unlimited credits at Great Basin College but in order to be eligible children must be unmarried and under the age of 24 and must receive at least 50% of their financial support from the employee and/or employees spouse or domestic partner.
