Job Description

Important Notes for Applicants

  • Engagement Type: This is a full-time independent contractor engagement not an employment relationship.
  • Compensation: The professional fee range of AUD 1800 to 2400 per month is an all-inclusive rate for the contractors services.
  • Schedule: While this engagement generally follows a 5-6 day workweek the contractor must remain flexible and available during core cleaning hours including weekends as required by operations. Current schedules may include:

6 days a week (Thursday to Tuesday) 7 working hours/day (7:00 AM 2:00 PM PH time)

5 days a week (Thursday to Monday) 8 working hours/day (6:00 AM 2:00 PM PH time)

Please note that this schedule is subject to change depending on operational needs and the dynamic nature of the industry.

  • Experience Requirement: We kindly ask that you express interest only if you have substantial experience in cleaning management and facilities operations. The client is seeking a contractor who can confidently step into the scope of work and contribute from day one as there is limited capacity for extensive training or onboarding support. Selection Process

  • Initial Discussion with VargasAndrews (30 to 45 minutes) An initial conversation to learn about your background experience and professional goals. Youll also have the chance to ask questions about the engagement and the client.
  • Technical Live Assessment with the Client (60 to 90 minutes) This stage evaluates your practical capabilities in data management advanced Excel functions and problem-solving through real-time scenarios relevant to the scope of services.
  • Behavioral Interview with the Client (60 minutes) Focuses on your professional communication style organizational skills and how you collaborate in a virtual environment.
  • Pre-Engagement Steps (10-15 minutes)
    • IT Audit: To ensure compliance with technology standards and security protocols.
    • Reference Check: We will contact your provided professional references to verify your history and capabilities.
    • Pre-Engagement Call with the Founder (30 to 60 minutes)A final conversation to discuss the engagement terms expectations and answer any remaining questions. Youll also learn more about the companys vision and long-term goals.

Position Summary:

Smart Suites is seeking an experienced Cleaning Manager to engage as an independent contractor delivering high-level remote management services to ensure the consistency and quality of cleaning operations across our portfolio of short-term vacation rental properties in Brisbane.

Working as part of our Operations (Facilities Management) Department from the Philippines the Cleaning Manager will partner closely with on-site contractors and local supervisors leveraging technology data and strong communication skills to maintain Smart Suites reputation for exceptional guest experiences. This engagement offers the chance to apply your expertise in quality control process development and remote team support in a fast-paced AI-driven hospitality environment.

Scope of Services

  • The Cleaning Managers engagement will include the following scope of services:
  • Develop document and maintain cleaning Standard Operating Procedures (SOPs) tailored to Smart Suites operational standards and Australian regulations.
  • Create and manage digital cleaning checklists schedules and quality assurance templates for use by on-site cleaning contractors.
  • Review and analyse photos videos and digital reports submitted by on-site teams to assess cleaning quality and adherence to SOPs.
  • Provide remote coaching and virtual training sessions for on-site cleaning contractors to reinforce standards techniques and efficient practices.
  • Monitor and evaluate performance data (e.g. cleaning times defect rates guest feedback) to identify trends and recommend process improvements.
  • Prepare and submit regular reports summarizing cleaning performance issues identified and recommendations for improvement.
  • Collaborate virtually with the Operations (Facilities Management) team to address operational challenges and align cleaning processes with broader facility goals.
  • Conduct virtual incident reviews in response to guest complaints or cleaning issues proposing corrective action plans.
  • Support the evaluation of cleaning supply vendors and provide recommendations based on product quality cost-effectiveness and sustainability considerations.
  • Research and propose digital tools apps or AI solutions that could improve cleaning audits communication or reporting between offshore management and on-site teams.
  • Maintain organized digital records of all cleaning operations documentation reports and incident logs.
  • Conduct cleaner interviews

Key Skills and Qualifications

  • Minimum 3-5 years experience in cleaning management housekeeping operations or facilities management preferably in hospitality property management or similar industries.
  • Familiarity with Australian cleaning standards and hygiene requirements applicable to accommodation services is highly desirable.
  • Experience managing remote processes and coordinating with on-site teams from an offshore location.
  • Proficiency in digital tools for checklist management audits reporting and communication (e.g. Trello Asana Google Sheets M365 Ai or dedicated cleaning management software).
  • Excellent communication skills for conducting virtual coaching reporting and issue resolution.
  • Strong analytical and problem-solving abilities capable of interpreting data and identifying operational improvements.
  • Skilled in developing SOPs training materials and operational documentation.
  • Highly organized and detail-oriented able to manage multiple processes and reporting requirements.
  • Comfortable working in a fast-paced technology-driven environment.

Key Performance Indicator ( word version for job ad)

  • Quality Standards: The contractor is responsible for ensuring the accuracy and thoroughness of remote cleaning audits which include reviewing photos and videos to identify compliance or non-compliance with cleaning SOPs. The goal is to achieve at least a 98% audit completion rate with detailed defect logs submitted on a weekly basis.
  • Process Documentation: SOPs and cleaning checklists must be developed updated and distributed in a timely manner. All SOPs should be updated within 10 days of any process change and new SOPs must be drafted when needed.
  • Issue Resolution: When quality issues or guest complaints arise remote guidance and corrective action plans must be provided promptly. The average response time for incident reports should be within 48 hours.
  • Training & Communication: Remote coaching sessions with on-site cleaning contractors should be conducted regularly and effectively. A minimum of two virtual training sessions must be delivered per month with at least 90% positive feedback from participants.
  • Reporting & Analytics: Regular cleaning performance reports should be submitted containing actionable insights and analysis of trends. These reports must be delivered according to the agreed schedule whether weekly or monthly.
  • Process Improvement: The contractor is expected to identify and propose enhancements to cleaning processes tools or systems. A minimum of one documented improvement initiative must be completed each quarter.
  • Technology Utilization: Digital tools approved for audits reporting and communication must be fully utilized. The expectation is 100% usage with minimal errors or data gaps.
  • Vendor Support: Contractor must assess and provide feedback on cleaning supply vendors and service providers. Comprehensive vendor review reports are to be completed every six months incorporating both remote and on-site feedback.
  • Compliance Awareness: A strong understanding of Australian cleaning standards must be demonstrated and integrated into all SOPs and training materials. All documentation and coaching should reflect this alignment.
  • Collaboration: The contractor must exhibit professionalism and responsiveness in virtual meetings with the Facilities Management team. Participation in scheduled meetings should be on time at least 95% of the time with proactive communication maintained throughout.
