Talent Acquisition CoordinatorPosition Overview
The Shaw Talent Acquisition (TA) Team is looking for a motivated team-oriented Recruiting Coordinator to support the recruiting team through a variety of administrative and logistical tasks. This role plays a critical part in delivering a best-in-class candidate and hiring manager experience while supporting internal Talent Acquisition team members and hiring managers throughout the recruiting process. The ideal candidate will be highly organized adaptable an excellent communicator and a proactive problem-solver who thrives in a dynamic fast-paced environment.
Responsibilities:
Manage the enterprise-wide employee referral process by conducting initial screening interviews accurately tracking referral activity in internal systems coordinating hand-offs to the appropriate recruiter and ensuring timely follow-up throughout the process.
Coordinate a high volume of interviews (phone video and onsite) managing all logistics including scheduling calendar coordination and hosting responsibilities especially for executive and senior-level candidates.
Arrange candidate travel and manage all related logistics including processing expense reimbursements in a timely and accurate manner.
Register new hires for corporate onboarding programs (ex. Foundations) and coordinate travel arrangements as needed.
Ensure prompt and professional communication with candidates via phone and email providing updates on application status and next steps throughout the recruiting lifecycle.
Administer post-process surveys for new hires hiring managers and candidates not selected to gather feedback and support continuous improvement efforts.
Track Talent Acquisition budget ensuring accurate reporting and alignment with departmental goals.
Oversee the invoice and payment process by creating purchase requisitions and ensuring timely submission and resolution of invoices.
Manage the Talent Acquisition career inbox triaging and routing inquiries to the appropriate team members in a timely manner.
Schedule pre-employment drug screenings and manage reporting for internal business partners.
Maintain and track inventory of event merchandise (e.g. promotional items and giveaways) ensuring stock levels are accurate and replenished as needed. Support recruitment marketing and events by organizing and coordinating materials for career fairs and shipping logistics.
Foster collaborative service-oriented relationships with hiring managers and Talent Acquisition team members ensuring clear and consistent communication.
Identify and contribute to process improvements in partnership with the Talent Acquisition team to enhance operational efficiency and the candidate experience.
Provide general administrative support and perform other duties as assigned.
Requirements:
High school diploma or equivalent and at least 2 years of relevant administrative recruiting coordination project coordination or event coordination experience OR Bachelors degree in a business marketing or related field.
Experience using Microsoft 365 (Outlook Excel Teams Word etc.) and PeopleSoft
Strong verbal and written communication skills Exceptional organizational skills with high attention to detail
Ability to manage time effectively prioritize multiple tasks and meet deadlines
Demonstrated initiative and ability to take ownership of tasks with minimal supervision
Strong relationship-building and interpersonal skills
Experience or education in human resources is a plus
Familiarity with Workday or similar applicant tracking systems preferred
