Description

The Executive Administrative Assistant will provide administrative support to the Vice President of Operations. The individual will act as liaison between the Vice President of Operations and the executive team and staff. Primary responsibilities are to act as a communication liaison assist with information preparation activities records management and other responsibilities and duties as assigned by management.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist in managing calendar and scheduling of the assigned executive including meetings helping to coordinate travel (to the level at which the assigned executive desires) and ensuring timely and efficient communication. When applicable help coordinate travel among other Click Bond executives and employees.
  • Handling of all information sensitive or otherwise is to be maintained with absolute confidentiality and trust.
  • Maintain organized files/documents both hardcopy and e-copy as appropriate.
  • Drafting correspondence as required and assisting in review to ensure accurate and professional communication.
  • Leading/Assisting (dependent upon the assigned executives desire) the organization of meetings or events with internal staff or other functional areas of Click Bond.
  • Prepare routine reports and spreadsheets and presentation materials.
  • Help facilitate meetings as desired by the assigned executive and coordinate action items and follow up.
  • Prepare expense reports for the assigned executive and assist other staff ensuring expense report accuracy and timely submittal for reimbursement.
  • Greet guests or customers in a professional friendly and hospitable manner.
  • Help maintain customer/client relationships as needed on behalf of assigned executive or other Click Bond executives and employees.
  • Provide overall exemplary customer service to customers internally or externally.
  • Serve as backup for other support staff as needed.
  • Be flexible in schedule to ensure organizational needs or meetings are properly supported and prepared for.
  • Reliable transportation to and from the office.
  • Report immediately all suspicious and hazardous conditions to a supervisor.
  • Understand and observe all safety guidelines and assure quality and safety by complying with all appropriate Click Bond policies and procedures.
  • Assist in maintaining clean orderly and hazard-free work areas.
  • Able to work with minimal supervision be a self-starter and be detail oriented.
  • Other duties as assigned

Qualifications

To perform this job successfully an individual must be able to demonstrate the following competencies:

  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong retention and recall.
  • Competent at conducting research and presenting data in a succinct and well-written manner.

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.

  • Flexibility and adaptability to changing priorities and situations.
  • Proven ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Punctual and dependable.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Ability to write and read English

EDUCATION AND EXPERIEINCE:

  • High School diploma required Bachelors degree preferred.
  • Minimum 5 years in a similar position required.

  • Work primarily performed in a standard office environment. If in manufacturing areas may be exposed to noise smells heat dust etc. Work requires the observance of fire regulations and safe work practices.
