Employment Status: Full-Time

FLSA Status: Non-exempt/hourly

Work schedule: 9am to 5pm; up to 40 hours per week including occasional evening and weekend hours required

Reports to: Parish Office Manager


Summary

The Venues Coordinator is responsible for the day-to-day operations of the San Fernando Cathedral Ballroom the Rooftop/La Sala and the Caf and is responsible for implementing a marketing strategy that promotes the venues through all media channels to the community.

Responsibilities

*Promotes and solicits new business for the rental of the venues following up on leads from phone and online inquiries.

Schedules and conducts tours of the venues with potential clients.

*Manages all bookings for events and consults with clients to assess and understand their need for the event.

Communicates and engages with clients in a courteous and professional manner.

*Manages all tasks associated with the venues to include booking invoicing scheduling and recording of payments.

Coordinates set-up breakdown and cleaning of venues after each event.

Manages lease contracts to ensure compliance with all terms including deposits and payments.

Acts as point of contact for all venue on-site visits rentals and contracts ensuring compliance with all financial and contractual reporting requirements established by the archdiocese.

Maintains up to date rental calendar to ensure a seamless experience for potential clients.

*Collaborates with the San Fernando Cathedral bookkeeper in accurately processing checks received for venue rentals expenses check requests and bank deposits as needed.

Research marketing opportunities for submission to Rector for approval.

Coordinates and schedules meetings with potential clients and vendors ensuring deadlines are met.

Ensures Event Coordinators have the training materials and resources needed for successful events.

*Develops marketing materials to promote and attract potential clients to the venues.

*Attends event fairs to network and help promote the San Fernando Cathedral Venues and hosts two open houses per year.

*Effectively communicates with vendors for all client events.

*Manages event coordination on-site on the day of the event if necessary.

*Develops and implements a comprehensive social media strategy to enhance online presence to engage and market to various audiences in English and Spanish.

Partners with the Event Coordinator to ensure the leased venue is free from damage before and after events.

*Protects the confidentiality of information or material involving both internal and external clients to include financial information.

Adherence to the archdiocesan Code of Conduct and Faith and Morals Policy is mandatory.

Adheres to safety protocols and training taking precautionary measures to ensure the safety and wellbeing of self and others.

Every employee must adopt a solution-oriented approach in all interactions and undertakings and be a team member who promotes collaboration and commitment to the mission and vision of the organization.

Attends monthly staff meetings.

Performs other duties as assigned.

Assist and attend with Church Fund raising events.

Requirements

Minimum Qualifications

Education

Associate Degree with additional relevant experience preferred.

High School Diploma required.


Experience

Experience in hospitality or restaurant or venue management; professional references required.

Social media marketing experience including Meta/Facebook Instagram and Youtube.


License and Credentials

Reliable transportation

Valid drivers license

Valid vehicle insurance


Minimum Knowledge and Skills

Must have knowledge and understanding of the Catholic faith.

Ability to read and understand contracts and agreements.

Proficiency with all applications within Microsoft Office.

Ability to work in a fast-paced environment and communicate effectively with the public.

Excellent time management skills with a proven ability to meet deadlines.

Must be able to work flexible hours if necessary in order to accommodate events.

Must have excellent written and verbal skills.

Must have critical thinking and problem-solving skills.

Must have strong organizational skills and meticulous attention to detail.


Physical Requirements

*Ability to lift up to 30 lbs. and pull push move and carry chairs tables linens etc.

On call during evening and weekends for venue emergencies

*Ability to stand and walk for extended periods of time.
