Fennemore has an exciting opportunity for a full-time Legal Administrative Assistant to join our growing team in the San Diego office. This hybrid role requires 3 days per week on-site. Were looking for a detail-oriented proactive professional to provide high-level legal administrative support to one or more attorneys and/or paralegals. This role plays a key part in keeping the team organized and efficient by managing a wide variety of legal and administrative tasks in a fast-paced environment. In addition to supporting casework this team member will also assist with general administrative responsibilities within the San Diego office.
Responsibilities:
- Types and revises handwritten materials including but not limited to pleadings correspondence memoranda and other legal documents;
- Files and serves pleadings discovery and disclosures;
- Coordinates service of complaints and subpoenas;
- Inputs and releases timesheets into Intapp;
- Proofreads all work product to ensure accuracy of spelling grammar and punctuation;
- Redlines documents (upon request) utilizing Workshare and/or Microsoft tracking;
- Answers telephone calls and transmits messages to attorneys paralegals and staff;
- Opens incoming mail date stamps dockets due dates and distributes promptly upon receipt;
- Coordinates travel arrangements including air hotel and car rental for attorneys paralegals and clients;
- Establishes and maintains files as requested;
- Transcribes dictation upon request;
- Coordinates conference calls meetings depositions mediations and other appointments for attorneys paralegals and clients including but not limited to conference room scheduling meals and preparation of materials;
- Coordinates legal work through Resource Center as needed;
- Maintains calendar of court deadlines hearings trials arbitrations mediations meetings and business trips apprising attorney of responsibilities in advance of commitment;
- Prepares docket forms for incoming and outgoing court papers as well as to document specific actions required for legal proceedings;
- Maintains an internal/personal docketing system and follow up on requests made by attorneys paralegals and clients;
- Performs a variety of secretarial functions including processing new client/matter reports expense reports preparing notebooks and exhibits photocopying and scanning;
- Coordinates preliminary conflicts checks with the Records Department to ensure the Firms capacity to represent potential new clients or new matter for existing clients;
- Transmits documents to clients and opposing counsel via email;
- Tracks attorney CLE;
- Works with accounting department to process Firms invoices to clients;
- Processes third-party vendor invoices;
- Drafts proposed orders subpoenas summonses civil cover sheets and other routine legal documents; and
- Other duties as assigned.
As part of our commitment to collaboration and excellence this role requires flexibility in daily work schedules during periods of high workload which may include working overtime as needed. Team members are expected to adhere to departmental and Firm goals and policies and perform other duties as assigned to support the success of the department and the organization.
Required Qualifications:
- 3 years litigation Legal Administrative Assistant experience;
- Knowledge of all court rules deadlines and policies including e-filing procedures for U.S. District Court Superior Court and Appellate Court;
- Ability to perform basic on-line research including searching court dockets;
- Ability to prepare a table of contents and table of authorities;
- Strong knowledge of the English language including excellent spelling grammar punctuation form and style;
- Ability to type 70 wpm accurately;
- Ability to type from dictation handwritten notes or verbal instructions;
- Proficient in Microsoft Office (Word Outlook Excel PowerPoint);
- Familiarity with document management and time entry systems; and
- High school diploma or equivalent.
