TITLE: Office Manager

LOCATION: Urbana Middle School

SUPERVISOR: This position reports directly to the Principal or designee.

JOB SUMMARY: The responsibility of the Office Manager is to perform secretarial and clerical duties to support the administration in their respective positions.

ESSENTIAL FUNCTIONS: To perform this job successfully an individual must be able to perform each essential function satisfactorily.

  • Coordinates all office functions (including sharing projects/tasks with office clerical staff)
  • Coordinates timesheets of all hourly employees and additional duties. Collect and review time sheets submitted by staff for the Principal Assistant Principal and Associate Principals signatures. Distribute any payroll checks to staff.
  • Type letters correspondence reports and other documents for the administrative team.
  • Assist with answering the phone in the main office.
  • Type letters correspondence reports and other documents for the Principal.
  • Answer the Principals phone line and assist with answering other phone lines within the administrative office.
  • Coordinate arrangements for meetings scheduled by the Principal.
  • Attend building meetings as requested by the Principal; prepare and distribute meeting minutes as requested by the Principal.
  • Coordinates bussing and inputs information into Skyward
  • Coordinates locker assignment/distribution to teams and students
  • Coordinates Free/Reduced Lunch Applications
  • Coordinates 8th Grade Promotion
  • Type and distribute the weekly calendar of events.
  • Compiles Athletic/Club Eligibility lists and weekly reports
  • Coordinates Honor Roll Lists & Students of the Month Awards
  • Maintain building information (personnel list all phones voicemail/phone numbers school maps).
  • Greet students parents and community members.
  • Compile format and distribute the daily student and faculty bulletins. Post/send the daily Skyward Family Access bulletin. Read the daily student announcements.
  • Update messages on the electronic building marquee.
  • Assist in organizing/coordinating all aspects of school events.
  • Assist with duties assigned by the teachers.
  • Perform any and all additional duties as assigned by the Principal.
  • Assist with duties assigned by the administrative team.

QUALIFICATIONS:

EDUCATION

  • Minimum of a High School Diploma or Equivalent

EXPERIENCE

  • Minimum of 3 years of secretarial/clerical experience desired.
  • Experience with typing computers word processing spreadsheets and working with office equipment such as copiers and fax machines.

OTHER SKILLS AND ABILITIES:

  • Ability to communicate effectively and professionally with the public both orally and in writing.
  • Ability to maintain strict confidentiality in regard to student records.
  • Strong attention to detail and excellent organizational skills.
  • Ability to work effectively and efficiently with a variety of different personnel at the District.
  • Strong public relations skills and ability to interact with a wide variety of people from diverse backgrounds.
  • Bilingual English/Spanish or English/French desired not required.

TERMS OF EMPLOYMENT:

  • Pay rate is dependent on experienceand education: $20.75 $21.20

  • This is a position not within the collective bargaining unit and is not an administrative position.
  • This is not an exempt position.
  • Contact Days and other days stipulated on the Twelve month work yearcalendar

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Boards policy on evaluation of support personnel.
