Job Description

The Executive Assistant provides highlevel administrative support to the Vice President Sales  within the business ensuring seamless daytoday operations and optimal efficiency. This role requires managing complex executive schedules coordinating both inperson and virtual meetings and arranging comprehensive travel itineraries.

As a trusted liaison between executives and internal/external stakeholders the Executive Assistant is responsible for screening communications organizing meeting agendas and ensuring followup actions are tracked and completed. Additionally the position involves preparing editing and proofreading documents reports and presentations for executive use.

Position location: Deerfield IL  Hybrid (onsite 3 days/week)

What you will be doing

  • Provide highlevel administrative support and assistance to the Vice President HR and other assigned leadership staff.
  • Manage and maintain executive schedules including calendar management travel arrangements and meeting coordination.
  • Handle sensitive and confidential information with utmost discretion.
  • Prepare and edit documents reports and presentations for internal and external use.
  • Act as the point of contact between executives and internal/external stakeholders.
  • Screen and direct phone calls emails and other communications.
  • Schedule organize and prepare materials for meetings including agenda creation notetaking and followup actions.
  • Arrange and manage logistics for inperson and virtual meetings (conference calls video conferences).
  • Arrange detailed travel itineraries accommodations and transportation for the Vice President and other staff.
  • Process and reconcile expense reports in a timely manner.
  • Assist with special projects as assigned.
  • Track project timelines deliverables and ensure deadlines are met.
  • Draft edit and proofread correspondence presentations and other communications for the Vice President.
  • Coordinate communications between departments and ensure proper flow of information.
  • Maintain high levels of professionalism and diplomacy when dealing with executives and external partners.
  • Ensure office operations run efficiently and coordinate with IT when necessary.
  • Performs additional duties including covering for other Executive Assistants PTO as assigned by executives.
  • Performs other related duties as assigned.

 

PREFERRED QUALIFICATIONS:  

  • Associate or Bachelors degree in business communications or related discipline

BASIC QUALIFICATIONS:

  • Minimum of 710 years of experience in corporate setting supporting multiple senior level executives
  • Strong verbal and written communication and composition skills with ability to interact at all organizational levels
  • Possess high level of independent decision making and professional judgement
  • High level of emotional maturity and professionalism
  • Forward looking thinker who proactively seeks opportunities and proposes solutions
  • Capability to manage multiple projects and priorities in a fastpaced environment
  • Expert level computer experience; Microsoft Office Suite Outlook PowerPoint Excel and Word
  • Ability to make good decisions independently plan and carry out assignments with minimal guidance
  • Strong attention to detail and ability to maintain confidentiality

Fortune Brands believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is Hiring Pay Range: $60000 USD $93500 USD. Please note that actual salaries may vary within the range or be above or below the range based on factors including but not limited to education training experience professional achievement business need and location. In addition to base salary employees will participate in either an annual bonus plan based on company and individual performance or a rolebased sales incentive plan.
