Job Purpose:
The Administrative Assistant to Hospital Medicine is responsible for clerical and administrative duties as assigned by the Medical Director of Hospital Medicine. This role performs a range of duties to provide administrative support to Hospital Medicine. The administrative assistant should have superb organization and time management skills. Must be reliable and should accurately follow instructions with the ability to multitask and acclimatize in a fastpaced environment.
Essential Duties & Responsibilities:

Scheduling and Meeting Coordination: Coordinate and manage schedules for providers with internal teams and external partners. This includes but is not limited to securing meeting locations setting appropriate timeframes preparing and distributing agendas and relevant documents and sending out formal calendar invitations.

Document Management: Maintain and monitor the electronic filing system for the Hospital Servies Department to ensure documents are accurately organized uptodate and easily retrievable. Uphold departmental standards for document control and confidentiality across all electronic records.

Providing Onboarding Support: Facilitate comprehensive onboarding experience for new providers by ensuring the timely distribution of necessary hardware software offices supplies and department materials. Coordinate office tours introduce hospital procedures and ensure alignment with institutional formalities to foster a smooth transition. This would include collecting crucial credentialing documents for the onboarding process.

Rotating Schedule Coordination: Oversee and manage outside provider and student schedules. Responsibilities include but are not limited to gathering all necessary documentation prior to arrival as well as coordinating schedules with inhouse providers and ancillary staff.

Qualifications:
Education:
High School graduate or GED.
Experience:
23 years of administrative assistant experience required; computer skills required.
