Job Description

A property management executive administrative assistant is responsible for providing administrative support to the executive team of HACS property management department. This role requires strong organizational skills attention to detail and the ability to handle multiple tasks and prioritize accordingly. Overall the property management executive assistant plays a crucial role in ensuring the smooth operation of the property management executive team and supporting the efficient management of properties.

Essential Duties:

  • Managing correspondence: Handling emails mail and phone calls and responding or redirecting as necessary.
  • Calendar management: Scheduling and coordinating appointments meetings and conferences for the executive team.
  • Document preparation: Drafting editing and formatting various documents such as memos letters reports and presentations.
  • Data management: Maintaining accurate and uptodate files and databases.
  • Executive support: Providing general administrative support to the executive team including managing their calendars organizing events and handling any other tasks as needed.
  • Liaison with internal and external stakeholders: Serving as a point of contact between the executive team and other departments clients vendors and partners.

These duties may vary on an as needed basis.

Knowledge Skills and Responsibility:

  • Knowledge of property management principles and practices
  • Familiarity with relevant laws and regulations in the property management industry
  • Understanding of administrative procedures and best practices
  • Strong organizational skills to manage multiple tasks and prioritize effectively
  • Excellent attention to detail to ensure accuracy in document preparation and data management
  • Advanced proficiency in computer software applications such as Microsoft Office Suite
  • Effective communication skills both written and verbal
  • Ability to work independently and proactively solve problems
  • Strong interpersonal skills to interact with colleagues clients and stakeholders
  • Proficiency in Microsoft Office Suite (Outlook Word Excel)
  • Proven record of providing excellent internal and external customer service
  • Must be selfmotivated and have a positive attitude
  • Ability to focus and follow through to completion of projects Ability to set priorities and operate in a dynamic fast paced environment
  • Demonstrates initiative with ability to work with little supervision
  • Exhibits professionalism and team orientation

EDUCATION REQUIREMENTS:

  • Successful experience in property management
  • Bachelors degree required

Compensation/Benefits

  • $51000 Annually with qualified experience.
