Job Description

Client Services Administrator

Location: Billericay

Salary: Competitive

Contract Type: Permanent

Working Hours: 40 hours per week MondayFriday

Are you an organized detailoriented professional with a passion for delivering exceptional client service At Ground Control we are looking for a proactive Client Services Administrator to join our Extra Works team. This exciting role will see you working closely with Account Managers Contract Managers and clients to ensure seamless communication and efficient management of tenders quotes and purchase orders.

Key Responsibilities:

  • Tenders: Manage and log tenders coordinating with the relevant Contract Managers to ensure smooth processing. Communicate with clients to keep them informed and engaged throughout the process.
  • Quotes: Review check and edit quotes for accuracy compliance with company standards and timely delivery to clients. Maintain an organized system for all quote uploads.
  • Purchase Orders: Ensure purchase orders (POs) are updated accurately. Conduct thorough checks for compliance and support client communications regarding updates and changes.
  • Extra Works: Oversee and complete the Extra Works checklist ensuring compliance with internal standards. Provide accurate documentation to the Finance team and maintain uptodate records.
  • Client Portals: Regularly update client portals with essential documents track activity and ensure all client information is accessible and accurate. Address and escalate issues as necessary.

  • Attention to Detail: Strong organizational skills with the ability to prioritize tasks and manage multiple projects effectively.
  • Team Collaboration: Ability to work collaboratively with both internal teams and external stakeholders to ensure high levels of service and operational efficiency.
  • Resilience & Flexibility: Comfortable with ambiguity and change adapting easily to shifting priorities.
  • Communication: Strong communication skills capable of influencing senior and operational stakeholders and maintaining professional client relations.
  • Technical Skills: Proficient in Microsoft Office Suite including Excel Power BI and MS Teams.
