Heres how anAdministrative Assistantfor our Civil Infrastructureoffice contributes to our team:
Supports daytoday operations by performing administrative tasks for manager department or team.
Manages email and calendars on behalf of others.
Scheduling and organizing Department Meetings take Meeting Minutes & Distribute to the appropriate teams
Assist with Project Start Up; collection of Project Data Sheets set up project in System send out Subcontracts assist with Estimate and Proposal reviews
Assist with Time & Material tracking invoices timesheets Forecasting Safety Inspections and Reports
Collaborate with Departments in the District such as Marketing and Communications HSE Estimating and Accounting
Assist with Manager Company Credit Card reconciliation and Departments Expense Submissions to Accounting
Internal and District Presentations assist with Mid Year and Year End Planning
Develops and maintains customerfocused relationships with all stakeholders
Ensures appropriate document control and compliance through filing composing and editing documents and reports for District office and SP Department
Assists with planning meetings and events including arranging for catering booking locations and distributing information
Arranges travel hotel and car reservations and preparing travel itinerary
Orders office supplies for department as requested
Supports mail distribution and courier requests.
Answers telephone calls and takes messages for manager department or team members
Reception Coverage. Greet visitors and answering their questions directing them to meeting rooms and connecting them with employees.
Mentors and coaches entry level administrative support staff.
High school diploma.
Associate or bachelors degree diploma or certificate in office administration program considered an asset.
3 years of experience as an administrative assistant.
Excellent verbal written and interpersonal communication skills.
Ability to prioritize tasks and adapt to change.
Ability to act with discretion when handling confidential information.
Ability to effectively handle difficult situations and remain calm under pressure.
Ability to develop and maintain effective stakeholder relationships.
Ability to create edit proofread and format documents/presentations.
Must be comfortable using various and new software applications to function within the Business Systems of PCL
Intermediate skills in Word Outlook PowerPoint Excel Adobe and OneNote.
