POSITION SUMMARY:

The Incumbent should have hands on experience in EXIM documentation including invoicing and banking documentation. Have Sound knowledge of import & export customs clearance port handling and shipping. The Incumbent shall Perform research for all import and export laws and procedures and maintain knowledge on all tariffs and licenses and collaborate with internal team and maintain expert knowledge on all custom regulations.

The Incumbent manages data for international shipments and provides support for many steps of the transportation process. To work with customs agents warehouse staff shipping companies banks and transporters. They help with shipping receiving and record keeping for all international transactions.

THE ROLE

As an Import Export Executive you will be responsible for overseeing the import and export operations of the company. This includes managing shipments coordinating with customs authorities and ensuring all documentation is complete and accurate. You will work closely with suppliers freight forwarders and other stakeholders to ensure timely delivery of goods and materials. Additionally you will be responsible for monitoring and evaluating the effectiveness of import and export activities identifying areas for improvement and implementing solutions to optimize processes.

YOUR RESPONSIBILITIES / ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned beyond the core functions listed below.

Accountability #1: Customer (Internal / External Stakeholders)

  • Design all SOPs for the EXIM department and ensure compliance with all Government guidelines and ensure reports are submitted to government agencies on time.
  • The person to ensure enterprisewide needs for due diligence risk assessment and continuing service provider are accomplished.
  • Partner with Buyers planners to ensure accurate movement of all international goods and ensure arrival of goods within required timeframe.
  • To deal with quotes from prospective shippers and handle claims with insurance companies.
  • Responsible for Coordination with freight forwarder for shipment pickup arrangement from our Supplier Warehouse movement toward port and timely shipment as per the shipment schedule Interacting with the CHA for customs clearance.

Accountability #2: Process / Performance

  • The Incumbent has a wide range of duties that deal with each step of the shipping process. The person is responsible for picking and transporting the shipments Track shipments and communicate with internal customers about the consignment progress. They fill out importexport documentation compile carrier and keep track of shipment payments and quotas. The job necessitates alignment of activities with the PT Worldwide Logistics objectives policies procedures and systems.
  • It is the responsibility of the person to make sure that all the procedures are carried out in compliance with the laws of our own country and the foreign country involved. The person must ensure that ImportExport Administration Regulations are followed to avoid Shipment delays and costly penalties.
  • Arrange to book shipment by air sea or courier as per customer requirements.The person is responsible for finding faster shipping routes and lower cost carriers as well as developing contingency plans to facilitate an expedited shipment.
  • Readying checklist for each shipment & verifies checklist before confirmation to freight forwarder to file shipping bills with DBK Sl. No & other benefit.
  • Troubleshooting issues with the Forwarder/CHA and communicating to management for timely actions. Stimulate steady process enhancement to present increasing operational efficiency in entire business partner processes.
  • Follow up for post shipment documents (Exchange Control Copy (ECC) Exporter Promotion (EP) copy Exporter copy original Airway bill Shipping BL ARE 1 form & update it in tracker.
  • Once EP copy received to update all the details in tracker & preparing the ARE1 form for Excise declaration.
  • Procedures such as arrangements for freight shipments cargo movement and communication for delays are to be overseen by the person.Ensure to track measure report and evaluate Service performance.
  • Responsible for carrying out all export documentations Physical Export document record maintenance maintaining tracking sheet Drawback (DBK) Claim File Preparation Submission of documents to Customs Drawback Credit Follow Up Bank Remittance Certificate (BRC) document preparation and its submission when Foreign Inward Remittance Certificate (FIRC) is confirmed by remittance banks for Duty Draw back.

Accountability #3: People

  • Perform as functional bridge amongst external service providers as well as internal stakeholders.
  • Collaborate with inter department team leader and perform audit on processes making sure that all the EXIM programs agree with the accepted rules and regulations of the organization.
  • Take initiatives to maintain and improve the 5S standards in the area of work and also in work zones for which the person is assigned ownership.
  • To ensure compliance of HSE standards as stated in the policy in the area of work. As a responsible employee of the organization the incumbent must bring to the attention of the safety committee any unsafe practice/working conditions in the facility in external warehouses etc.

KEYS TO SUCCESS:

  • Should be confident with figures since theyll have to convert weights volumes and currencies for international shipments.
  • Must be familiar with the legal requirements regarding importing and exporting shipments as well as their companys internal procedures.
  • Excellent relationship management skills with the ability to engage negotiate and manage key stakeholders and service providers.
  • Excellent communication interpersonal and influencing skills.
  • Results orientated with ability to plan and deliver against project deadlines.
  • Resilient selfmotivated and able to work well under pressure.


SUPERVISORY RESPONSIBILITIES:

The incumbent reports to Senior Manager Distribution & Logistics (D&L) and supports him in all daytoday operations to achieve the business objectives of the company.

YOUR QUALIFICATIONS:

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required.

  • Any graduate/postgraduate with complete knowledge in EXIM functions
  • Must have a minimum of 57 years of experience in EXIM functions and customs rules.
  • Importexport trade regulations certificate programs and experience in an international trade industry will be an added advantage.
