JOB DESCRIPTION: Virtual Assistant Bookkeeping with General Admin
Purpose: The position is for a professional responsible for maintaining budgets and records as well as preparing invoices on behalf of clients or employers. In this role the individual will be involved in daytoday tasks directly related to their field where precision is key. They will also provide comprehensive administrative and clerical support including processing and recording transactions preparing reports
and budgets handling communications with clients and vendors factchecking filing and performing other duties as needed.
Duties and Responsibilities:
Basic data entry tasks for accounting assistants include logging transactions recording and reviewing journal entries creating invoices and crafting spreadsheets.
Prepare quarterly reports and assist with yearend audits.
Prepare and process invoices ensuring timely and accurate billing.
May potentially assist with Payroll as needed
Create and update financial reports. Work on balance sheets statements of income statements of retained earnings and cash flow statements.
Reconcile bank statements and track expenses.
Creating and updating expense reports
Processing reimbursement forms
Provide general administrative support as assigned by the client:
Scheduling and managing appointments
Answers emails in a timely manner
File management
Very limited phone work
Dataentry calendar emails management etc.
Requirements
Qualifications:
Hard requirement: High proficiency with the following bookkeeping software:
Xero
Quickbooks Online (QBO)
MYOB
Preferred: Experience with Hubdoc
Preferred: Experience with Monday / Expert Project or any similar project management tools
Preferred PC/OS: Windows
Nice to have: Experience with Dext accounting tool
Knowledge of basic bookkeeping procedures
Familiarity with finance regulations
Proficiency with MS Office Suite (Excel Word Outlook)
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent communication skills both written and verbal.
High attention to detail and accuracy in managing financial records and administrative tasks.
Ability to handle sensitive confidential information
Must have relevant experience in administrative support
Ability to work independently and as part of a team in a remote setting.
