Job Description

This is a remote position.

Schedule:

  • Monday to Friday 8am to 1pm Mountain 25 hours a week

This is an exceptional opportunity to support a successful entrepreneur in the executive search industry while gaining exposure to confidential high-level recruitment processes. Youll be the right-hand person to a dynamic business owner helping streamline operations across multiple critical business functions including client relations candidate coordination financial management and business development. This role offers tremendous growth potential as the business continues to expand rapidly with the opportunity to evolve from part-time to full-time as operations scale.

Responsibilities:

  • Manage executive s inbox and calendar efficiently
  • Coordinate interviews between candidates and clients
  • Set up sales meetings and manage follow-up communications
  • Create simple pitch decks for business development purposes
  • Develop recruiting materials and presentations for client engagements
  • Organize and maintain Google Drive folders and workspace systems
  • Handle light QuickBooks bookkeeping including invoicing and account reconciliation
  • Manage LinkedIn content creation and posting
  • Assist with monthly newsletter preparation and distribution through HubSpot
  • Provide general administrative support and organizational assistance

Requirements:

  • Highest level English fluency with exceptional written communication skills
  • Availability to work US business hours
  • Proven track record of trustworthiness and ability to handle confidential information
  • Experience with CRM systems (HubSpot preferred Salesforce or MailChimp acceptable)
  • Light QuickBooks bookkeeping experience preferred
  • 1-5 years of experience supporting high-level executives ideally more than 5 years of experience as an Executive Assistant
  • Professional services industry background preferred (executive search management consulting CPA firms)
  • Understanding of how professional services firms operate
  • Strong organizational and time management skills
