Role Name: Psychology Clinic Administrative Coordinator

Schedule:

  • Parttime Flexible within Melbourne Business Hours 4 hours a day Monday to Friday

Job Description

We re seeking a detailoriented Administrative Coordinator to join our expanding psychology practice. This role offers a unique opportunity to contribute to mental healthcare delivery while developing professional skills in healthcare administration. The position combines client relationship management administrative coordination and business development making it ideal for someone who enjoys varied responsibilities and meaningful work. As we expand our practice this role has excellent growth potential with the possibility of transitioning from parttime to fulltime in the near future.

Responsibilities

  • Manage comprehensive clinic administration and coordinate client journey from initial contact through treatment
  • Develop and execute marketing initiatives including crafting professional email communications
  • Handle appointment scheduling and booking management
  • Process and maintain accurate financial records and administrative documentation
  • Manage confidential client data with strict adherence to privacy protocols
  • Coordinate communication between practitioners clients and referral sources
  • Support the clinic s growth initiatives through strategic administrative support


Requirements

  • Proven experience in administrative coordination preferably in healthcare settings
  • Strong understanding of medical privacy regulations and commitment to maintaining confidentiality
  • Excellent communication skills with a professional phone manner
  • High level of empathy and understanding when dealing with sensitive situations
  • Strong organizational abilities and attention to detail
  • Proficiency in email marketing and communication tools
  • Demonstrated ability to handle confidential information with discretion
  • Experience in maintaining detailed records and managing scheduling systems
  • HIPAA privacy and confidentiality certification (or willingness to obtain)
  • Exceptional trustworthiness and integrity
  • Strong time management skills and ability to work independently
