St. Marys Parish is a vibrant Catholic congregation located in Historic Annapolis Maryland serving over 5000 families. St. Marys Parish includes St. Marys Church St. John Neumann Mission Church St. Marys Elementary School and St. Marys High School. Our Administrative Assistant with database administration responsibilities will be a member of a four-person Advancement team and reports directly to the Director of Development. Under the supervision of the Director and in cooperation with the Executive Director of Advancement the Database Administrator/Administrative Assistant will perform a variety of administrative and support tasks essential to the success of the daily management of the Advancement Office.
Essential Functions
- Collaborate and assist in managing the Raisers Edge database containing all registered parishioners/school families.
- Communicate and interact with donors parish staff clergy volunteers and others in the Archdiocese regarding database records.
- Upload donor pledge statements quarterly.
- Prepare all standard thank-you letters and year-end tax letter requests.
- Prepare donor letters for Directors signature following office protocols regarding deposits.
- Interact with fiscal services staff when necessary regarding deposit or donor issues.
- Maintain files for gift documentation and related correspondence.
- Handle donor inquiries received by telephone or email; while maintaining a pleasant tone and composure/patience.
- Help with preparation related to group mailings donor stewardship and other communications as initiated by the Director.
- Utilize/engage AOB resources involved with Appeals and certain Development office activities.
- Assist with the dispersement of publications from the offices of Advancement and Communication.
- Order supplies and manage inventory of various printed materials for the office.
- Reconcile the monthly credit card statement and handle ordering items and processing corresponding expenses. Secure two levels of signature approvals of the final report.
- Perform other duties as assigned by the Director of Development and Stewardship.
Position Qualifications
- High school diploma with experience or completion of a Bachelors degree.
- Experience with non-profit organizations is preferred.
- Strong desire to work in the development field; experience in fundraising event management and or public relations is a plus.
- Excellent interpersonal skills and solid understanding of a donor centered approach.
- Must have excellent computer literacy skills including proficiency in MS Office suite especially Word and Excel.
- Must have a mastery of basic math skills knowledge of database software and office equipment.
- Practicing Catholic preferred.
Pay Rate: $25.00 Hourly
