Position: Legal Assistant

Location: Jupiter FL

Job Description:

Responsibilities:

  • Working in the firm database program inputting client information;
  • Coordinating scheduling and process flow;
  • Coordinating drafting assignments (with the ability to jump in and draft or edit when necessary) and managing timeliness of document production/output;
  • Calling and/or emailing clients to schedule followup meetings or to obtain information;
  • Working with staff to print and collate Estate Planning documents for execution;
  • Acting as a Witness or Notary during document signings;
  • Providing accurate nonattorney information inperson and via phone/email;
  • Updating calendars and scheduling meetings;
  • Performing other clerical duties such as filing photocopying scanning and faxing.
Requirements:
  • Proven work experience as a legal assistant
  • Proficiency in Microsoft Office Suite
  • Experience in a law database management or billing management program
  • Handson experience with office equipment (e.g. scanners printers and fax machines)
  • Professional and upbeat attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills and an eye for detail
  • Ability to maintain confidentiality
  • Common Sense
  • Multitasking and timemanagement skills with the ability to prioritize tasks
  • Flexibility to change direction when client priorities require it
  • Calm and poised demeanor and the ability to work well independently and with a team
  • Fluency in Spanish a plus
  • High School degree
  • College additional relevant certifications or trainings a plus
