LOGISTICS OFFICER

Purpose of Job:

The purpose of this position is to coordinate and manage the movement of goods between
suppliers and warehouse liaising with external agencies and maintenance of all logistics records.

Main Duties and Responsibilities:
  • Reconcile invoices with bill/s of lading.
  • Update the purchasing spreadsheet with clearance documents from shipping lines brokers trucking companies etc.
  • Assist with the prioritizing of shipments as necessary.
  • Liaising with shipping agents to get competitive freight rates.
  • Check All Customsrelated documents before submitting entries to Customs.
  • Maintain a record of all documents for incoming shipments.
  • Ensure that the above documents are sent to the Broker on a timely basis.
  • Follow up on all shipment discrepancies.
  • Ensure all shipment discrepancies for overages/ shortages are communicated.
  • to Customs/ other relevant parties.
  • Ensure the Company’s status as an AEO is always maintained in good standing.
  • File documents as necessary.
Other Duties:
  • Ensure proper filing/ archiving of documents.
  • Ensure that all correspondences are responded to within 24 hours
  • Provide feedback on issues that affect the Commercial Team.
  • Perform any other duties assigned.
Key Performance Indicators:
  • Reconcile invoices with bill/s of lading sameday documents received.
  • Update the Commercial spreadsheet with clearance documents daily.
  • Assist with the prioritizing of shipments weekly.
  • Liaise with shipping agents to get competitive freight rates as requested.
  • Check Customs documents daily before submitting entries to Customs.
  • Maintain daily records of all documents for incoming shipments.
  • Ensure documents are sent to the Broker daily.
  • Ensure resolutions for all discrepancies commence within 24 hours of
  • notification of same.
  • Submit discrepancy report to customs for over/ under shipments within 1 week of discrepancy reported.
  • Monitor activities in the industry quarterly to ensure all logistics related. activities that impact the business are communicated to the management team and actioned where necessary.
  • File/ archive documents as required.
  • Ensure that all correspondence received (both internally and externally) is responded to within 24 hours.
Required Education:
  • First Degree
Required Skills/ Experience:
  • Understanding of basic purchasing functions.
  • Supply chain management/ logistics experience
  • Strong (internal and external) Customer Service skills.
  • Strong computer literacy and numeracy skills.
  • Effective oral and written skills.
  • Good Interpersonal skills.
  • Strong organizational/coordination skills.
  • Experience in a retail environment
  • Proficiency in the use of Excel and Word
