We re blending conventional and complementary medical therapies to bring real relief by using evidence-based treatments and a holistic approach. Our team is looking for an energetic and experienced Medical Practice Manager. We are hiring for full-time role compensated hourly, starting range $40-$40/hour (according to skills and experience) with additional sales commissions. Initial hours M-F, though we may adjust weekday hours and plan to add Saturday services. Pay is biweekly.

We re well aware of the impact our solutions have on patient s lives but we won t rest until everyone knows. We re seeking a qualified Physician Liaison medical practice representative for business development to lead cultivation of new, untapped business opportunities and help our practice connect with local referring medical provider and business network relationships. This candidate will also supplement our current office manager in some practice management responsibilities after 2:30 pm. The ideal candidate will be trusted to dive right in, take the lead, use initiative, and help build a thriving medical practice. Highly skilled at sales and business operations, this person will join and inspire a team of like-minded go-getters to achieve our company vision.


Objectives of this role:

  • Manage both our existing sales pipeline and the development of new business opportunities.
  • Meet with referring medical providers and business relationships to discuss patient care, referrals, and new treatments, and thank them for existing referrals
  • Engage and target referring providers and practices to build lasting and robust patient referral relationships. These patient referral relationships improve patient care but grow and scale the referring practice.
  • Evaluate and help ViveWell meet the needs and wants of referring practices.
  • Take a lead role in developing new-business proposals and presentations that create and nurture opportunities and partnerships
  • Identify trends and customer needs, building a sales pipeline for short/medium/long term in accordance with targets
  • Develop strategies and positions by analyzing new-venture integration
  • Assist in the coordination and implementation of marketing strategies, and delegate tasks to achieve strategic goals
  • Motivate the team, track performance, and report metrics


Responsibilities:

  1. Physician Liaison Business Development:
  • Visit local referring physicians and medical practices with the goal to build lucrative referral relationships.
  • Generate new leads, identify and contact decision-makers, screen potential business opportunities, select deals in line with strategies, and facilitate pitch logistics
  • Works with medical practice and healthcare system and independent medical providers to create effective physician referral marketing plans.
  • Meet with local physicians, medical providers, staff members, and referring practice medical staff members to build referral relationships
  • Schedules physician relations meetings between providers and healthcare professionals
  • Distributes the medical practice marketing collateral and patient referral materials
  • Represents medical practice and physicians at local healthcare and networking events
  • Develops physician relations marketing reports including tracking visits and measuring the ROI
  • Educates referring medical practices on the capabilities of the practice, how they can streamline the referral process, and provide top-quality care for their patients.Lead outbound and inbound marketing initiatives to drive patient growth.
  • Monitor and evaluate industry trends and customer drivers, and meet regularly with managers and stakeholders to discuss strategy progress and growth strategies of the marketing.
  • Manage proposal response process, including detailed RFP requirements, content creation, and inputs from various sources
  • Support deal structure and pricing with business-value analysis, and negotiate prices for proactive bids and proposals
  • Maintain and share professional knowledge through education, networking, events, and presentations
  • Help organize, plan, and host healthcare events for ViveWell. This can include open houses, attend charity events representing the medical practice, and more.
  • Participate with media advertising initiatives with coordination and support of ViveWell physician owner, practice manager and digital marketing team.


2) Operations:

  • Collaborates with leadership team to review and adjust business and clinical operations in order to maximize workflow efficiency, staff productivity, and patient access.
  • Regularly meet with leadership team to assess accessibility and efficiency of operations to adjust processes accordingly.
  • Regularly assesses front desk operations (reception, registration, scheduling, payment, etc.) for accuracy and efficiency and adjusts processes accordingly.
  • Reviews health record and customer relationship manager (CRM) processes for opportunities for improvement among physicians and staff; securing necessary assistance (training, optimization, billing,, etc.) to address issues.
  • Regularly monitors phone statistics and performance to identify opportunities for improvement and implements action plans as necessary with physician ownership.
  • Routinely monitors wait times (patient access, time-to-appointment, exam room, waiting room, etc.) and develops plans to address issues with physician owner, other providers and staff.


3) Social Media Marketing:

  • In-depth knowledge of the patient experience and medical practice is vital for directing social media marketing.
  • Create original content to attract new patients based on your hands-on experience and training for both patients and information on what referring practices are looking for


4) Quality Improvement:

  • Ensures that the service expectations of both internal and external customers are met and/or exceeded.


5) Human Resources:

  • Collaborates with physician owner on annual professional performance appraisals for support staff team.
  • Encourages and supports professional growth and/or staff activities that directly relate to the developmental needs of the practice and staff.
  • Serves as a role model, mentor, and professional colleague for other members of the management team by lending support and sharing opportunities for success.
  • Cultivates and environment where physicians, Advanced Practice Providers (APPs) and support staff work together as a team to improve practice operations.
  • Regularly solicits feedback from staff and medical providers on job satisfaction and addresses issues accordingly.
  • Collaborates with physician owner to develop action plans to address priority issues in employee surveys.


5) Program Development:

  • Participates in strategic planning for the practice.
  • Coordinates the implementation and integration of new programs and medical providers in the practice.
  • Plans and/or participates in activities in the community.
  • Suggests opportunities for expansion based on patient population needs, physician referrals or community access.


6) Direct Patient Interactions

  • Participates in expediting patient care as necessary, including covering duties of medical assistants in times of clinic high volume or employee absences.
  • Expresses empathy in patient interactions and focuses on the needs of the patient, staff, providers, practice and organization simultaneously.
  • Promptly addresses patient complaints and other patient-related issues.
  • Serves as a champion for patient safety.
  • Communicates in a competent and effective manner to meet patient and/or family needs and regulatory or organizational requirements.
  • Collaborates with multidisciplinary team, the patient, and family to promote efficient patient care.
  • Serves as a mentor and preceptor for new staff and as a constant resource to all staff.
