We are looking for a reliable and detail-oriented Front Office & Admin Coordinator to support daily office operations guest handling office administration vendor coordination staff attendance records and general administrative tasks.
This role is suitable for someone who is punctual disciplined organized and able to complete routine tasks accurately every day. The ideal candidate should be comfortable handling multiple small but important responsibilities and ensuring that office operations run smoothly.
This is not only a reception role. The person will be expected to manage front office responsibilities as well as administrative coordination tasks.
Key Responsibilities
Front Office & Guest Handling
Welcome and assist visitors guests vendors and employees in a professional manner.
Manage visitor entry access coordination and basic front desk support.
Support VFS visits when required.
Assign and coordinate DLF access cards as needed.
Office Staff Management Support
Maintain manpower assignment records.
Track and update attendance records accurately.
Coordinate with office staff regarding daily assignments and availability.
Escalate attendance or manpower issues to the manager when required.
Invoice & Vendor Coordination
Check incoming invoices for basic accuracy and completeness.
Share invoices with the Finance team on time.
Follow up with vendors for pending invoices corrections or reminders.
Maintain basic records of invoice status and vendor communication.
Office Administration
Coordinate daily office cleaning and ensure cleanliness standards are maintained.
Manage incoming and outgoing couriers.
Order business cards as required.
Coordinate ID card ordering and distribution.
Update SIM card details in the tracker.
Send birthday emails as per company practice.
Car & Transport Coordination
Manage office car-related records and coordination.
Coordinate office car usage and availability.
Book cab services when required.
Maintain related records and communicate with users/vendors as needed.
Corporate Event Support
Support the HR team in organizing office events.
Assist with coordination logistics communication and basic arrangements.
Help ensure events and employee engagement activities are executed smoothly.
Required Skills & Qualities
Punctual and reliable with strong attendance discipline.
Able to follow daily routines and complete assigned tasks without repeated reminders.
Good attention to detail.
Organized and able to maintain records and trackers accurately.
Comfortable with follow-ups reminders and coordination.
Basic communication skills in English.
Professional attitude toward guests employees and vendors.
Able to handle multiple administrative tasks in a structured way.
Basic knowledge of MS Office email and office tools.
Serious responsible and willing to support day-to-day office operations.
Experience Required
Up to 4 years of experience in front office administration office coordination facilities support or operations support.
Experience in a corporate office environment is preferred.
