Reporting to the Director of Health Information Management the Manager is responsible for coordinating the daily operations personnel management and implementation of policies and procedures for transcription release of information and record control activities. Role includes establishing and maintaining performance standards for accuracy and timeliness as well as providing ongoing training and education for employees and other departments staff in all divisions of the organization. Manages and coordinates the daily activities of main files correspondence record completion and transcription.Manages the administration of personnel including interviewing hiring supervising evaluating counseling coaching disciplining and making recommendations for promotions transfers and/or dismissals of employees.Develops secures approval of and implements policies and procedures for physician record completion main files transcription and release of information.Oversees activities with record storage service including coordinating medical record purges; evaluates on an ongoing basis the effectiveness and efficiency of the services to ensure quality data and timeliness of record retrievals.Monitors activities of the copying service to ensure quality documents and excellent customer service.Oversees preparation and availability of medical records within designated timeframes for ongoing record reviews and audits by outside agencies e.g. Mass PRO Blue Cross DPH etc.Follows through on the identification and correction of duplicate numbers in the master patient index; works with registration areas to develop corrective action plans to ensure resolution of problem areas identified during monitoring activities.Ensures timely record availability by performing quality review of the ChartFact/Locator Fact on a regular basis.Establishes performance standards for record control/filing correspondence transcription and record completion and implements monitors to ensure compliance.Coordinates employees performance statistics projects trends in area staffing needs institutes mechanisms to raise productivity and to provide more efficient procedures and utilization of personnel.Performs ongoing documentation reviews as part of JCAHO record requirements.Processes payroll for employees on an as needed basis.Coordinates staff schedules to provide 24/7 department coverage.Demonstrates consistently the ability to train crosstrain and develop staff members for new responsibilities and authority as departmental needs dictate.Maintains inventory of supplies and medical record folders and places orders in a costconscious manner as needed.Continuously evaluates operating systems for efficiency. Develops and implements new procedures in accordance with department objectives; reviews and modifies existing procedures as appropriate.Ensures current job descriptions exist for staff members of the department; reviews and revises as needed.Works with employees to identify their educational needs and implements action plans to increase the personal effectiveness of employees.Performs 90day and annual evaluation on staff.Conducts privacy audit of the Lifetime Clinical Record to identify any potential breaches of confidentiality.Assist in developing effective inservice and orientation programs for department employees.Conducts inservice training on confidentiality and privacy of health information to hospital employees.Serves as a resource for department managers staff physicians and administration to obtain information on documentation standards privacy and regulatory requirements.Demonstrates good organizational skills in the preparation of daily work schedules and the assignment of duties and responsibilities inservices staff meetings and other professional activities.Keeps abreast of all developments in the health information management field and increases technical and managerial skills through participation in professional activities continuing education and other related activities.Works with the Director to achieve departmental goals as well as long range planning and implementation of systems and procedures.Assumes effective leadership roles on hospital committees and teams.Assists the Director in the operating and capital budget process.Safeguards the privacy of the health information in the medical record.
