Job Summary

Job Overview

This specialized position provides technical administrative financial and program support for the division-wide Homebound Services Office. The Program Assistant serves as a key operational team member by coordinating communication among schools families Homebound teachers Payroll and central office staff; maintaining program records and databases; processing payroll and financial documents; supporting state and division reporting requirements; and serving as a primary point of contact for program-related inquiries. The employee completes assignments independently exercises sound judgment maintains confidentiality and uses initiative to identify solutions and improve operational processes and procedures.

Roles and Responsibilities

The following information is intended to describe the overall nature and scope of the work being performed. This is not a comprehensive listing of all responsibilities or tasks; work may differ and other work may be assigned when deemed appropriate.

  • Provides administrative and program support to the Homebound Coordinator and Homebound Specialist including processing Homebound referrals reviewing supporting documentation and coordinating follow-up with schools and families.
  • Serves as the primary point of contact for Homebound-related inquiries and supports Homebound teachers with onboarding training program procedures and required documentation.
  • Serves as the department timekeeper and processes payroll personnel and financial documents including purchase orders and invoices; collaborates with Payroll Human Resources school-based timekeepers and Homebound teachers to resolve related issues.
  • Maintains Homebound program databases records and division systems including Phoenix Guardian and other applicable platforms ensuring data accuracy integrity confidentiality and compliance with federal state and division requirements.
  • Creates tracks updates and maintains spreadsheets reports correspondence files and other documentation necessary for program operations compliance monitoring audits and state reporting requirements.
  • Compiles analyzes and reports program data to support division accountability measures and annual reporting requirements including data submissions to the Virginia Department of Education.
  • Serves as backup support for other Student Services Program Assistants and performs other duties as assigned to ensure continuity of operations and customer service across the department.

Experience

Two (2) years of related administrative program support payroll financial processing database management records management or customer service experience.

Salary Scale: Range:$29.20 - $37.58

Telework is defined as completing ones duties and responsibilities at a site other than ones assigned duty order to be eligible for telework privileges an employee must have demonstrated consistent positive performance and have the support and approval of their direct addition these employees must have reliable high-speed internet and a designated workspace that allows them privacy while completing sensitive and confidential work. Employees who are non-exempt and are teleworking will work their required scheduled hours and gain approval from their supervisor if they work more than 8 hours a day or more than 40 hours in a workweek. Teleworking privileges can be amended changed or revoked based upon the performance of the employee as well as the needs of Loudoun County Public Schools.
