Who are you
You are an experienced Payroll Coordinator with a minimum of 0-2 years of post-graduate experience looking for the next step or are currently undertaking a similar role in a similar environment.
The Payroll Coordinator will have overall responsibility of supporting and processing multi-state bi-weekly payroll for all staff across the USA (including California). The successful candidate will bring best practices and understand the administration portion of payroll as well as work hand in hand with the Payroll Manager to ensure effective processes.
Specifically The Payroll Coordinator Will:
- Work with Payroll Manager to ensure guarantee bi-weekly disbursement of multi-state payroll for 800 employees including garnishments and taxes consistent with federal and state wage and hour laws
- Support payroll operations related to employee compensation (including bonuses) for exempt and non-exempt workers
- Ensure all payroll information and records are maintained in accordance with statutory requirements
- Deliver out-of-cycle/ad hoc payments to employees and facilitate the production of manual checks or wire transfers to bank accounts as necessary
- Work with Human Resource to ensure the processing of unemployment workers compensation and employee leave requests
- Assist in resolving payroll discrepancies process bi-weekly adjustments and answer employee inquiries
- Assist in reviewing time-sheets and entering bi-weekly payroll including reconciling bi-weekly quarterly and annual payroll reports as required
- Support in delivery of Form W-2s and 1099s annually
- Ensure systems are updated to reflect our current employee base including wages sick and vacation time in line with current policies
- Work with HR on a regular basis to assure complete coordination of pay benefits and deductions
- Develop and document payroll procedures to ensure maximum efficiency
- Assist in preparation of internal and external audits
- Oversee compliance with statutory reporting and filing requirements
- Monitor the accurate processing of staff appointments transfers promotions and terminations
- Prepare and review payroll account reconciliations
- Interpret new legislation impacting payroll
- SOX control responsibilities may be part of this role which are to be adhered to where applicable.
Qualifications :
Education and Experience
- Bachelors Degree in Accounting Finance Business or related field and 2 years of experience administering multi-state payroll OR Associates Degree in Accounting Finance Business or related field and 3 years of experience administering multi-state payroll
- In-depth knowledge and experience of payroll calculation and processing
- Familiarity with payroll software
- Full knowledge of current Federal State and local labor laws tax requirements and payroll regulations
- Experience migrating payroll from one system to another is a plus
- Experience working in a professional services or consulting environment is preferred
Preferred
- Familiarity with the accounting side of payroll (e.g. journal entries reconciliations etc.)
- Experience implementing new payroll system
- Experience with Microsoft Dynamics 365 accounting software
