Job Summary

JOB PURPOSE

  • The ICT Assistant is responsible for executing the maintenance follow-up and monitoring of all IT and Telecom equipment tools and services as well as ensuring onsite & offsite technical support and basic training of users under his/her responsibility in consultation with ICT Manager in accordance with MSF standards policies protocols and procedures to guarantee the efficient use of all IT and Telecom services and infrastructure.
  • To assist ICT Manager in developing implementing and maintaining the quality security continuity and coherence of an efficient and effective ICT environment in accordance with the requirements of the office of the MSF South Asia in India and other countries.

KEY ACCOUNTABILITIES

  • Supporting Activities
1. Monitoring maintaining and following up on all Information Technology (IT) and Telecom equipment tools and services in the MSF India Offices in India in accordance with MSF standards policies protocols and procedures.
2. Supervising implementing and improving data security protocols (data saving firewall User Access right backup security for equipment and software etc.) to ensure data security availability and immediate operational recovery and continuity in case of emergency.
3. Performing any other task specific to his/her area of specialty as defined in his/her job description and according to the line manager.
4. Performance of specific technical functions including changing of hardware electronic components (disks memories network wiring power sources etc.) and routine repairs.
5. Ensure that all the ICT equipments (servers computers printers telephone LL/ Mobiles A/V equipments etc.) are functioning smoothly and uninterrupted.
6 Assistance in the installation of commercial and in-house developed software and related upgrades.
7 Assist in management and acquisition of ICT softwares and hardware for specific depts.
8 Support to users in backing up and restoring their files as well as in virus detection removal and prevention.
9 Ensure that software and anti-virus updates are being delivered correctly on all systems
10 Responsible for providing support in live events and e-meetings.

  • Supports network and system administration
1. Troubleshooting & monitoring of network related problems.
2. Maintain log all trouble reports and detailed resolution in trouble ticket system
3. Maintain and troubleshoot network systems such as file servers network printing and connectivity.
4. Provide user support for all network access and all system related software and devices (laptop drives OneDrive)
5. Maintain Periodic backup of Users data MSF-E data and share folders.

  • Provides administrative support
1. Responsible for management and processing of ICT bills of office and MSF guesthouse
2. Maintenance of an up-to-date inventory of software and hardware.
3. Maintenance of the inventory and stock of supplies and spare parts in cooperation with the Facilities department.
4. Maintenance of the filing system ensuring safekeeping of confidential materials.
5. Extraction of data from various sources.
6. Research and retrieval of data from internal and external sources; preparation of statistical charts tables and reports as required.
7. Providing ICT support to key Events/ Projects

  • Briefing and Training

Provide 1st level ICT briefing and training to existing and new staff.

  • Procurement of ICT Equipments
Assist ICT Manager in procurement of ICT equipments for MSF South Asia offices

KEY DIMENSIONS

  • Technical support to users to resolve their IT related issues and queries.
  • Monitoring of ICT Infrastructure Hardware Software Internet
  • To Support ICT manager in day-to-day ICT service continuity maintenance and E-Data security
  • ICT Asset and Inventory Management

Financial Dimensions

  • Assist ICT Manager in preparing and managing the ICT annual budget.

Other Dimensions

  • Responsible for the ICT maintenance of all staff and infrastructure in Office/s and Guesthouses in Sri Lanka.
  • Remote ICT support to the users of MSF South Asia in Sri Lanka India and other countries if required
  • Support to other MSF Sections if required

Key Performance Indicators

  • Up-to-date office infrastructure and IT compliances (Software and Hardware)
  • Adequate trouble shooting: 90% of all ICT in-house queries are solved within 12 hours
  • 100% of required ICT payments are done well in time
  • Up-to-date and approved ICT strategy payments and inventory for the MSF offices in Sri Lanka
Key Interaction
  • MSF South Asia Office in Sri Lanka & India or any other country if required
  • External ICT service vendors
  • Closely work with ICT Manager based in MSF South Asia Office in Colombo
  • Shared IT services center in Prague if required










Requirements

Educational Qualifications & Functional / Technical Skills

  • Graduate in IT or equivalent
Relevant Experience

  • Preferably 2-3 years work experience in the field of System and network administration trouble shooting supporting management of hardware and software platforms telecommunications facilities and knowledge of Windows-based packages/applications
Other requirements

  • Expertise in latest version of Microsoft Operating System and business applications (Office365)
  • Good knowledge of computer hardware and maintenance processes network theory and their respective protocols main email systems IT security best practices and IT service management tools (ITSM)
  • Knowledge of Computer Hardwares Routers Switches etc.
  • Good knowledge of written & spoken English

Contract duration is one year with a possibility of contract period extension.

Compensation gross per month range LKR 199104.00 to LKR 283874.00 (final salary will depend on the scaling of the CV as per MSF criteria).
13th Month bonus (equivalent to one month gross) will be additional.
Medical: MSF provides medical reimbursement for employees and their dependents as per MSF health care policy
